In this task I am going to produce a report analysing the similarities and differences of my event plan
to a large event plan.

It is important to distinguish an event plan, risk assessments and risk controls and the attendees of
your event. When organising an event, it is important that those are considered as it also enables
the event organisation, to know the purpose of the event and how it will be organised.

Prior to the event it is important to check if all the assets needed is available, cleaned and in good
condition. It is also crucial that the aims and objectives of the event is discussed as it will increase
the likelihood of success.

The type of event that my team and I are planning to host is a charitable formal photography event.
The leader of my team issues members of the team, a role, and tasks to be completed for the event.
There is a various difference between my event in comparison to a bigger event. One of the
precautions of the event is to ensure that the health and safety procedures is considered. It is very
important to do the health and safety procedures especially during a global pandemic. The way in
which the Bett will ensure that the risk assessment is compiled is by stating the way in which they
will be protecting the attendees. For instance, on their website they have stated for everyone to
bring their own hand sanitisers and for it to be applied before the event and after the event. That
everyone must wear a facemask as it is mandatory as it is now the UK regulation. Equipment’s must
be cleaned before, during and after the event. Our risk control assessment is to have cleaning
supplies to eliminate the spread of bacteria. They way in which the Bett will follow the social
distancing regulation, is by ensuring that during the event paths crossing is minimise, to minimise
touching if an exhibitor wants to touch something that glove must be worn and that the 2 meter rule
is put in place. PPE will also be available at the event for each stand in case an injury occurs. They
also have a two-way system to prevent people from going too close to each other.

An arrangement that was made with our events is the equipment’s such as a camera, microphone,
tripod, and a computer. Security is also something that needs to be present during an event so that
they can control who enters and exits the premises and ensure that bad situations is resolved as
quickly as possible.

The similarities between my charitable event in comparison to the Bett show event is that the
budget and costs analysis is discussed. It is important for all organisations to breakeven. Another
similarity is that both events are always planned prior the event to enable flexibility. It is crucial that
the team leader ensures that the roles are chosen by the right people. Another similarity is that both
events have procedures in place to ensure that the event runs smoothly and that the decisions are
made by the right person. An example of procedures that need to be followed are procedures such
as the person who can make a decisions and health and safety procedure. Furthermore, both events
are informal event as it is a structured event with a team leader. Our team came together and
discussed the risks for the event and other organisational and legal procedures such as
discrimination and documents. The team identified the risk that could face the event in which my
team and I conducted a risk assessment and a risk control to reduce the hazards which is one of the
benefits.

The difference between the Bett show events and my event is that our one is a charitable event
whereas the Bett shows event is not a charitable event. The size of the event is also a difference as
our event is a small event whereas the Bett shows event is a large event.
