Describe the recruitment documentation used in a selected organisation.
P1
Today i will be investigating the recruitment process for a front of house
manager at Harlow playhouse.
In the coming paragraphs I will be breaking down the four main documents that are used in
the recruitment process. I will be going through why each one is important and how it is used
in the case of the harlow playhouse which is in harlow and is advertising a job for the front of
house manager position.
Advert
The purpose of the ad is to get the attention of the reader so that they would be interested
enough to apply for the job.The advert created by the Harlow Playhouse is put on their
official website. It displays the hourly rate, and informs the reader of when they are needed
to work. It talks about the role that the reader would fill. It goes on to inform about the
prefered traits the reader should have before applying for the job. It says that they will
receive training if they don’t have the first aid course already. Extra information includes links
to the three following documents, job description, person specification and job advert.
Furthermore at the bottom of the ad it says that the job is open ended and is suited towards
someone who is time restricted such as a student or parent.
Job description
The purpose of a job description is to outline the key duties that the job holder would have
to, and also can sometimes include extra information. The job description talks about the job,
it describes the pay scale of grade 6. It informs of the service that the job covers, which is
community wellbeing. As harlow council is the author of the job description it gives the
location of the job, which is the Playhouse with the job title of what they are responsible for,
of front of house manager. The job purpose given is to be responsible for effective
management of the front of house for the playhouse. It gives a breakdown of the tasks and
informs the reader of the duties they would be likely to complete as part of the job, with a
statement of health and safety. The job description also talks about where the job is, this is
important because it allows the reader to see how far away the job description is and would
eliminate applicants who deem themselves too far away. It is also written by Harlow council,
this means that the job is greater regulated along side the fact that there is added job
security with a council job. The main requirements of the job are to be able to interact with
people well whether it be for front of house of work or to lead groups of people in tasks to
create a smooth running show. As well as being able to being able to conduct themselves
accordingly to a situation as they will be doing.
Person specification
The role of a person specification is to outline the key attributes that the employer is looking
for in the prospect employee. Harlow council have created an employee profile for a front of
house manager at the playhouse. It lists the required attributes of the applicant which are a
, must have for the candidate that is considering to apply and is also used to narrow down the
person applying. Furthermore It lists what is essential for this role which is similar to
required, but essential attributes are key to the applicants success at the job and says what
is desirable for the candidate to have will give the candidate the edge over the others if they
are able to show these attributes in their application and during the interview. With the
method of how they would identify these traits being explained later collum and clearly says
that some will be asked for in the application and the others will be taken from inside the
interview itself. The reason employers use a person specification is so that they can convey
to the reader what they want from the person while working at the job as a manager. The
person specification is not only used to describe to the applicant the type of user being
looked for but to help the recruiter find these people in a more cost effective and time
reduced way.
Application form
The job of the application form is get as much information the applicant as possible so that
the employer is able to decide whether or not they should interview this person and invest
their time into them.Harlow council have created a job application form. It lists how it needs
the personal details of the applicant. They also ask for present employment to see if the
applicant is currently working in a managerial role. They mention of past employment. They
ask for the highest form of education and of any other training and qualifications. They also
want to know of any offences that the applicant may have committed. Furthermore they
request how many sick days that the person may have taken. The reason they have
applications is so that the recruiter can get as much information the applicant to decide
whether or not to take it to the next step in the process which is normally an interview. The
information given in the completed application is used to decide if an interview is needed and
if an interview does take place then additional information can be used as a point of
discussion during the interview.
In conclusion all documents are crucial for the application process as they each have a key
role to play. Whether it is from getting as many people interested in the job as possible or to
give important information to the reader so that they are able to further understand if they
themselves are suited to this role or not. It is also used for being able to get the needed
material from the applicant for the employer to then see if the applicant has met the certain
criteria required and is worth taking to the next step which is an interview.
