Staging an Event
The event included a number of different stages that all came together to make it a success.
The venue, time, transportation, catering, and decoration are all part of this process. All of
these criteria were critical to our event's success, and without them, we would not have been
able to hold it to the high standards we did.
Venue
Our venue changed several times in the days preceding up to the event, but we were finally
able to secure a station in The Sheffield Private School's G-Block. The venue we eventually
chose was able to meet all of our needs for a great event. It had enough open room for us to
put our sofa and chairs, as well as a table where we could put our food snacks on. It also had
toilets close by and fire exit doors, so it was easy for the pupils to leave in case of a fire or if
they needed to go to the toilet immediately. The venue was also safe because it came with a
security guard to ensure that the team and students felt comfortable, and that the money and
equipment we gathered were safe and unable to be stolen. At the venue there is also a medical
kit nearby, in case of emergencies. So overall the security and health concerns were dealt
with effectively.
Promotion
We had to make sure we promoted our event properly due to our change in stations to the
G block, which had only recently opened. We distributed many posters across the college,
noting that it was in T-Block and the precise station it was in, as well as stating what the
event was about. These were printed on large A3 papers that were printed back to front so
that when stuck to glass, both sides would be visible. We also had one of our team members
roam about the college from time to time explaining what the event was about and showing
people how to get there, which worked out extremely well. So, the marketing aspect of the

, event went quite well as we personally invited students as well as advertised our event
through posters.




Audience
We were able to reach out to our target audience of 16 and up, and we received more than the
32 required to meet our objective. We had the students arrive at various times throughout the
event because we had a limited amount of seating and had to accommodate their lesson
schedules. The two primary players would sit in a chair and play while the others who were
watching but not playing sat on the sofa and separated the game from those who were dining
at the table.
Furthermore, we also did an Attendee evaluation through questionnaires. The event received
a great deal of good feedback, which we were able to collect in a variety of ways during the
event. One of the ways was through surveys that we created for students to fill out after they
finished their match. One of the prepared questionnaires can see in the image below. We
made it so that all 40 participants who took part in the event had to sign all of these papers,
else their score line would not be taken into account for the competition. The positive we
took away from the event was that many people felt our idea was great because so many
people's events were bake sales, and because there was so much of that type of event, ours
seemed more refreshing and authentic. Giving to charity was also a key incentive for many,
as we were participating in the event not for our own financial benefit, but to assist a
wonderful organization that assists disadvantaged families. One of the most common
compliments we received was that the customer service and atmosphere we were able to
create was delightful for everyone, as we spoke with each attendee and made them feel
engaged while they waited in lines.
