Roles:
Being an effective events planner requires a person to consider the location, venue,
catering, setting up the programme, preparing and distributing documents, and being
responsible for the contracts. In addition to this, for an effective events planner, it is
crucial for the organiser to take into account the legal requirements for the event, the
security, and the importance of carrying out a risk assessment. Below I will be
researching and analysing the elements to consider being an effective events planner in
more detail.
Venue:
The first element an event organiser must consider when holding an event is an
appropriate venue. They must keep in mind the type of building, the space and facilities
required for the specific event they are organising. Selecting a suitable venue that
corresponds to the type of event the organiser is holding will set the scene, influencing
the capacity of people that will or not be attending. In addition to this, considering the
venue at the beginning will allow an organiser to identify the costs involved. The cost
would vary depending on the size and may be calculated altogether through a contract
which can be paid before or throughout the event. As a result, budgeting is important
when organising an event.
There are different roles and tasks that need to be completed by an organiser when
considering the venue. For example, one of the tasks includes, taking into account the
type and number of people attending the event. The venue must be a good place that
will accommodate according to the quantity of people invited to the event, as if there are
less seats or space to stand for the amount of people attending, the venue will become
too overcrowded, causing people to feel uncomfortable or fighting to occur due to
aggravated people. Furthermore, this links to the type of people attending the event.
The organiser must know if the attendees will be over 18+, students, children, families,
etc, depending on the type of event that is being hosted. Another factor that needs to be
considered is the travel method required to get to the location. If the length of the
journey to the location is long, the organiser must consider the type of transport like a
car, minibus and public transport like trains or coaches.
Moreover, one of the most crucial factors for an event planner is ethical considerations,
which they must be aware of because individuals have different views and beliefs. For
instance, if majority of the attendees were religious, identified as Muslims, and the
venue is at a club, this would be unethical because alcohol would be served, which is
forbidden for Muslims to drink.
