Planning an Event. Summary and Evidence.
Purpose - The purpose of our event will be to generate funds from selling stock that we acquire at
two venues, Lakes College. The funds will be used as a donation to a local charity of our choosing.
Our chosen charity is Calderwood House.

The Events Size - The Event will be contained to a single room that we have booked fourteen days in
advance, this would be to ensure that we have enough space for all of our products, we will be able
to decorate the space how we see fit and we will be able to direct traffic effectively. The room that
we have booked is the college’s common room which is fairly large and should suit us well for our
event.

The Audience - Our audience is everyone who will be at college on the day of the event, this is
because we will be positioned in a public area and we will not be discriminating against staff or
visitors because they will also have the same opportunity to purchased items from us on the day.

Number of participants - All of the members of our team will be present in order to maximise sales
and to respond effectively should anything go wrong on the day, we are planning to split ourselves
into two teams these teams will take shifts running the stall or performing other miscellaneous tasks
throughout the day.

Event aims and target market – Our event aims to achieve a profit from selling stock and to draw
awareness for a local charity in this case Calderwood House, our target market will be each
individual within the college including ourselves, as we will have the opportunity to purchase stock
and to donate as well.

Key dates – Our event planning took place over several weeks, we began planning our event on the
04/10/16 and the event took place on the 01/12/16. We were separated for a week due to half term
on the 25/10/16 until the 01/11/16 which resulted in no work being completed this week.

James - was the groups project manager which meant that he was responsible regarding decisions in
which direction we would take for the event for example James decided what the final products that
we would stock would be before the event but he will have a meeting with the manager of
Calderwood house in regards to receiving promotional materials to officiate our event to be to
collect money for the Calderwood house.

Barry – was the sub team leader which meant that if James isn’t around to make a decision the team
will speak to Barry but Barry is also in charge of listening to the group and recording our minutes and
decisions that we have this will be important for our assignments in the long run as this detail is
required for our criteria.
