Routine Maintenance
Organisation and naming of files and folders
Work is important to be organised so that it is easily found when the files need to be accessed. I have
named the folders, like this to include the title of the certain unit and with the unit number. And
finding the work easier as I could find the folder with the work by looking at the titles of the folders
and it also saving work much simpler as I would know what folder the work needs to be saved inside.

Backup Procedure (Online / Offline)
Another routine maintenance task you could do is to create backups of data that is stored on the
computer. The files can be backed up onto a USB pen drive, Compact Disk etc. If the data was lost or
needed to be transferred to another computer, it could be moved easily. Once the files are copied
onto the USB storage device or Compact disk, it could be removed from the PC and stored in a safe
place where it won’t get lost or stolen. When working on documents, it is extremely important to
create backups in case of a hard drive failure. Backups allow the files to be put back onto the system
if something ever happened. Some operating systems can offer a backup utility tool which backs up
data when opened. Cloud storage and secondary storage devices can also be used to store the
backup files.
Automatic Scheduling of unwanted data
It’s a good idea to do this on your computer system as it helps in the computer running smoothly
without being pulled back by unwanted data. Windows includes some tools to do the scheduling of
unwanted data, such as Disk Clean-up. However, I used a third-party clean-up called CCleaner
Professional Edition.

You can schedule CCleaner to run on a daily, weekly, monthly or Logon basis.
After running, the cleaner will
clean all the files that the user will not need. And it can also be scheduled to run on a certain basis to
get rid of any more unwanted data.
Archiving
Archiving is the process of moving data that isn’t been used to a different storage location for a long
term retention and archive data is consisting of older data that is still important and it could still be
used in the future. This is beneficial for companies because it can save money on the primary storage
and it also will improve backup and restoring performance.
