D2 – Justify the need to review policies and procedures following critical incidents

“A policy is a predetermined course of action, which is established to provide a guide toward
accepted business strategies and objectives. In other words, it is a direct link between an
organisations vision and their say-to-day operations.”1 Therefore, policies identify the key
activities and provide a general strategy decision making and how to handle with issues
which could occur. So, it can be used as a guide to help overcome problems.

Whereas, a procedure is to provide people with a “clear and easily understanding of a plan
of action which is required to carry out or implement a policy. A well-written procedure will
also help eliminate common misunderstandings by identifying job responsibilities and
establishing boundaries for the job holders”2. Usually a good procedure will allow managers
to control events in advance so they are able to prevent organisations from making mistakes
which could result in being costly.

“Policies and procedures also provide clarity to the reader when dealing with accountability
issues or activities that are of critical importance to the company, such as, health and safety,
legal liabilities, regulatory requirements or issues that have serious consequences” 3,
therefore it is incredibly important for them to be reviewed to ensure that they are all meet
the potential in being the most effective they can be. A policy and procedure benefits the
service, employees and the service user so it is vital that they are updated if it is required to
prevent any other problems from occurring and ensuring that any problem can be dealt with
within the setting.

Management have a duty to review the policies and procedures for the service that they
provide at least once a year. The reason for this is to make sure ha everyone is safe and to
make sure that each policy and procedure is followed and that everything is done following
the rules in order for everyone to be treated carefully. It is also important for them to be
reviewed to make sure that any prevention for an incident is encouraged.

Because of a policy and procedure being updated “employees understand the constraints of
their job without using a ‘trial and error’ approach, as key points are visible” 4 meaning that
