Unit 4 Managing and event

Reported by Falak

Learning Aim A

,Checklist of an event organiser

Communication:
An event organiser needs good listening skills, this is vital when it comes to guiding workers
(that are helping you with the event) as it allows them to work more efficiently and quickly and
also as a good organiser your job is to tell people, make sure they feel comfortable and
connected with you. If workers feel a sense of unease they might not work as efficiently it’s the
same concept with people that are coming to your event, make sure they are fully engaged and
don’t feel left out.

Manage Budgeting:
A good organiser needs to manage how much money they can spend and still balance how
much money they can save. Every organiser needs to know what budget their limited to, a good
organiser will always consider buying the essential things needed for an event rather than
unnecessary things such as high expenses for example chairs, this is curial as people need to sit
if their tried or other activities such as eating food or watching movies

Time Management:
A role of organiser is to keep in touch with the time, an organiser might spend too long on one
task which can affect how much overall time it takes you have to complete the other tasks,
some cases you may not enough time or your unable to finish the work time, this can cause
problems such disturbed schedule and frustration. A way you can solve this is by having a
planned schedule, waking up early to do work and also have at least 8hrs of sleep to keep your
mind fresh

Promotion:
A good organiser should know how to advertise his event, promoting an event is a basic skill as
it helps attract more people to your event, for example, let's say you’re organising an event for
a funfair, to prompt it, you would need to make posters, in the poster, it should include where
the event will take place, what time does it start and end, how long is the event lasting (usually
days or hours) you should also include eye-catching images of the funfair. Every organiser
should also consider what their target audience is and how they can reach them.

, Crowd control:
A organiser needs ways in which he can manage the space his working with, a way this can be
done is planning out approximately how many people will be there at the event, it helps if your
event is invitations based as you will exactly know how many people will come to your event, if
some may not arrive it may be considered a benefit as you have fewer people to manage.
Another way an organiser can do this is by attracting people to the sitting/chilling area for
example a cafe (where people can drink and eat) or a stage where people can watch
performances or even a movie area

Multitasking
An organiser that can handle/control multiple tasks without going under pressure, this can be
either during the event or while being frustrated or stressed over a certain task. A good
organiser should always keep a cool and collective mind. This is because it helps them find the
solution to the problem quicker as well as allows them to handle multiple tasks in a more
efficient and effective way.

Leadership
Leadership is the ability of an individual/s to influence and guide members in what they must
perform; they are the foundation of motivation of individuals within the event, they line duties
to workers and encourage them in completing those duties, they can assist different workers in
the task they are undertaking. This is a key part of being a good organiser, leadership can help
guide the workers that you hire to their allocated tasks, and you have shown your ability to
command, have power in what you speak, confidence and work along your team as they might
feel pressured or uneasy working with you.

Creativity
A good organiser knows how to plan their ideas, this is crucial when planning as creativity plays
a huge role in planning events, an organiser can layout a map of what things would look like
and where they will be located. Every organiser needs a creative mind, this can make an event
much more fun for people such as having a Christmas tree at a wedding this makes the event
look lively and colourful. Creativity can flow within a person's mind. Creativity is also essential
when decorating events, as you think of ways in which it could look best, it brings life to an
event. It makes people feel like their luxurious place this is why organiser needs a creative mind

Tech literacy
A organiser also needs to be familiar with technology This makes things work faster for example
if you’re planning an event you can have 3d model of where things are located and you have an
overall picture of what the event may look like event .This can also apply to how much
