Analyses of the planning and running of our event
As to the plan we had to be at the Radmoor restaurant at 8:30am, arriving one hour earlier was
chosen so we can prepare the venue for our event. On the day I was the first to arrive at the
restaurant, followed by Nicol and Josh, the rest were a bit late due to traffic and parking problems. It
was a good idea to meet up at 8:30am so all of our team members have enough time to get at the
venue before the actual event starts. By 8:50am everyone was present, the venue open and we
could start organising our event. Amanda delivered the cakes around 9am so we had enough time to
cut them on even pieces and make a nice visual display, which made our coffee morning more
visually appealing. I gave the idea to put two tables at the entrance and put the cakes on them so
people can see them easily. We communicated with Mat and come to the agreement that he will be
preparing all of the hot drinks because he is more experienced, which reduced the chance of
someone getting burns.
At 9:30 the first people start to show up, to our surprise there was more interest in the cakes then in
the coffee and tea offered. Every team member had a task, for instance Josh and Nicol were
responsible for the money keeping, Ana was recording all the sales we make, while me, Hanna, Elli
and Rose were taking orders and serving the customers. Just around 10am we realised that not all of
the cake is going to sell which mainly due to our class mates not turning up to support us and the
fact that our event wasn’t advertised online up until the last moment. Not selling all of the cakes was
bad as we were paying for all of them and it would be a loss not to sell it all. We were prepared with
contingency plan for situation like this one, so me, Hanna, Elly and Rose decided to go to the staff
rooms around the college and direct sell the rest of the cakes. Here I used my selling skills to
successfully sell all of the cakes left and the girls were collecting the money and handing out the
cakes. We were finally back at the Radmoor restaurant around 11am – all the cakes were sold and
we had run a successful event.
The rest of the team who didn’t come with us to the staff rooms had already cleaned up and put
everything back on its place. That is important as we want to leave the venue in the condition we
found it, who knows in the future we may need to use it again and the staff will be more than happy
