Data is very important in the use of information systems. Data is inputted into an information system so it
can be processes and outputted as readable information. ✔Data is created and used by all departments
in an organisation. Data is the main input that is put into an information system. The data needs to have
all of the features of good information so it can be used effectively for decision making in the organisation.

The college also uses ProPortal to track students progress and attendance. This is an example of how
data is used through Doncaster College. It is important that the data inputted is valid and up to date or it
won't be able to be used effectively.✔
ProPortal can be used to see if any students aren’t performing to their full potential or are having poor
attendance then that information can be relayed to other departments from the teachers so that any
issues can be solved. If they aren’t getting good grades then they can be questioned and assisted if
needed. If there are personal problems stopping someone from attending then they can be figured out
through phone calls or meetings. This shows how functional areas can improve effectiveness in one area
of the college. Using information gathered from the use of ProPortal the college can justify decision or
improve the effectiveness in their functional area. The college can analyse the information gathered from
the students and look at any trends with progress and subjects or attendance. They can see if certain
students aren’t progressing well and why that is. By analysing this information they can see what is
causing the issues in certain areas and if it's to do with the students attendance, attitude or maybe the
certain tutors if there are many students all struggling at the same time. They can then send this
information to another functional area, like the subject department, who can then use this to make
decisions in the college and the courses. If there are a group of students all progressing badly then they
can look into it and see what the issue is. They can then act on it once the problem has been found.✔p5

People are one of the most important features of an information system. ✔Without people working
together in all the different departments then the organisation couldn’t be successful. In Doncaster
College there are many different functional areas that all have to work together by sending and receiving
information through the organisation. The staff and employees will collect all the data and be the ones that
input it into the information systems to be processed and stored. It is important that the people working
are qualified and trained to do so in there specific areas so that the information outputted will be useful for
the College. If all of the employees and staff in their separate functional areas are skilled and trained then
they can communicate information to each other throughout the college effectively. ✔p4 and p5
