In this task, I will be analysing the arrangements made by an event organiser to plan our
business event to Cheshire Oaks Designer Outlet. I will be explaining some of the
arrangement my team and I have made for our businesses event as well as describing how
we could have improved our arrangements to make them more successful.
Our event is a Business trip for the Extended Diploma in Business Year 2 and it is a trip to
celebrate the end of the course. The event took place in Cheshire Oaks Designer Outlet.
Cheshire Oaks was the first and remains the UK’s largest Designer Outlet. The first thing we
needed to do was organise ourselves to make sure everybody knew what to do as well as
making sure our event ran smoothly and successful. Therefore, we decided to divide the
work by choosing a team leader( me) to watch and observe the entire event planning
process, and a vice team leader as a secretary to keep the minutes of the meetings and
other important things. The rest of the team had their own responsibilities in the planning
process such as looking for venue, equipment/resources we need, scheduling and prior
arrangements.
One of the important arrangements that we had to plan was the business side of the event,
although it was an event to celebrate the end of the course, however we had to have some
sort of business presentation as a part of our assignments. Therefore, we had to contact
Cheshire Oaks Designer Outlet’s customer service asking them if they could do a business
presentation for us once we arrived there, and this has been successfully done. As they have
booked us a meeting room available in the Centre Management Suite at 11am that day and
one of their Retail Managers was available to give us a presentation. This was a successful
arrangement as we arrived there on time and we had a presentation from them explaining
how their business runs smoothly, as well as their strategies on marketing, financial and
operational side of their business.
It is important for us to assess the equipment and resources arrangement that we might
need for our event, although we did not need a lot of equipment or resources to run our
business trip, as it a small trip to an outside shopping centre. As we had to provide students
and teachers with some papers including, our event programme as well as other papers,
which had more information on the shopping centre such as what facilities and shops does
the centre have as well as maps. Therefore, almost everything ran smoothly in terms of
arranging the business events’ important papers and evidences. However, since the minibus
is one of our equipment arrangement which did not meet our expectations. This is because
we had booked a minibus from our college to take us to Cheshire Oaks Designer Outlet, but
there was some problems which the college staff were able to fix them though it was not
ran as a smoothly as it should be.
Another arrangement that made for our business event was the food arrangement.
Although we did not book for a restaurant to eat lunch, we had to be certain that our food
