Introduction

Within this report I will be gathering comprehensive research evidence into the role and skills that
an event organiser requires in order to successfully plan and carry out and event as well as analysing
my own skills to discover how they match those of a successful event’s organiser. In order to do this,
I will thoroughly look into the skills and overall role of an event manager as well as looking into the
legalisation.

Role of an Event Manager

The role of an event organiser is to set the scene for the event and create the desired image of the
event by having everything little detail match the design brief. They will have to deal with many
aspects of the event which will I’ll talk about in detail below.

Choosing a venue/ location

The event organiser must choose a good location because in order for the event to be successful it is
important that the location has good transport links so that it is accessible to enough people are able
to come. The location and venue also set the scene for the whole event and therefore the event
manager must ensure the location matches the design brief and image of the event therefore the
target market will be attracted to the event if the location fits the brief and it will help the tickets to
the event to sell out. There are also certain things that the location must have such as water,
electricity and wheelchair access or else it will exclude people from attending. The venue is a huge
factor of the event and it will help decide whether people want to attend or not. The event manager
will also have to calculate the costs of the venue and work out if the price is within their budget. The
event manager will need to calculate the number of people that they plan will attend and whether
the venues size is acceptable.

Catering

The event manager also must organise the catering facilities to match the event and this can also
affect the venue therefore the manager must make sure the catering will be able to take place at the
chosen venue. They must also ensure that they follow the guidelines set by the food standards
agency as well as certificates or else it could ruin the whole event.

Planning and reserving facilities

The event manager is responsible for planning and reserving the facilities they plan on using and
therefore must be making sure their event doesn’t clash with any other events. The event manager
must also take the weather into account and plan accordingly, for example if they are planning an
outdoor activity it would be essential to plan ahead for the weather depending on what season it is
at the time. They must also identify the exact facilities needed and reserve these facilities to ensure
they are available for the event. The facilities could include electricity, cash machines, first aid, baby
changing, toilets, parking, wheelchair, signs, drinking water taps or rubbish collection.

Setting up the programme

The event manager will need to clearly outline what will happen on the day of event step by step to
keep it organised in a programme format to allow the guests to know where to go and what they will
be doing. This way some guests may decide they may not want to attend one section of the event
