Unit 18- Managing a Business Event
Assignment 2- Your Mission, should you choose to accept it….
Aeryn Newman
In this assignment myself, JL B,, L C & L L presented a Gender equality in the business
environment and society event. This was an event we thought needed discussing as the people
of our generation and people in companies can change this for the better, and this can happen if
we educate people on the way society has pereseved males to be nothing but the Alpah male, if
they arent straight masculin or cis gender (among other things) they arent worthy of a good
position in society, although many peoples view on this has changed over the past decade. We
feel like most of the world is prepared for change and ready to understand the worrying statistics
and facts of our society and how they treat anyone other than the Alpha male way below par to
the alpha male.
Task 1-
The name of my team's event is gender equality in the business world. This event was an
informal nonroutine event to promote Gender equality in society and in business. We originally
had the idea to present this somewhere in Stafford to the general public when we first found out
about this, however, due to the forever changing restrictions, it caused us not being able to
present this publicly so we had to present in front of the class (originally was going to be virtually
but ended up doing this in the classroom). The purpose of this day is to break stigmas that
happen in the workplace , how the Alpha male is rewarded and everyone else is treated worse
off, giving knowledge to the class to ensure they have the voice to change and stopping stigma
around mental health, especially in men. We will be presenting a powerpoint and 1 or 2 Kahoots
to show how much people have progressed in this. Here is the running order of our event:
10:45-10:50- Get everyone in and set up
10:50-10:55- Welcome
10:55-11:05- Kahoot
11:05- 11:20- Presentation
11:20-11:30- Kahoot
11:30- 11:35/40- Thanks and feedback.
During our planning, once we had established our event, we needed to split tasks and get time
scales put on them. Before we split the work we created a Gannt chart for this. We also included
our planning documents in this. We also split the task through this chart too. I have attached this
document separately and it is labeled Appendix 1. We have a budget of £17.50 The budget is
separated into:
Dettol wipes- 2 packs- £2
Ink- 1 Pack- £12
Paper- 1 Pack- £3.50
We may not need to buy these items due to college more than likely providing these items for it,
however, we would nominate a person to buy them if we were to need these, this person would
be nominated at a later date. Other resources and material we used whilst planning and
creating this events was:
1. Google Docs
2. Google Slides
3. Google Sheets

4. Kahoot free
5. Excel
6. Google Forms
We used these to produce our marketing material, Kahoots and powerpoint, I have also linked
these in this pack. These have been labeled Appendix 2 & 3 (marketing material) and Appendix
4 (Slides). Because we are now doing this event in college, the attendees will be arranging their
own form of travel. These forms of travel include Car, Bus and Train. We need to ensure that we
are aware of any issues and delays/cancellations that may disrupt our presentation and
kahoots. We did not need to think about group travel or accommodation as we originally were
planning to do it online before lockdown, however, because we were back in college everyone
makes their own way into college. To help us evaluate the form we created a questionnaire to
gather responses from the attendees. I have linked the questionaire with all other attached
documents and have labeled this as Appendix 5. To keep open transparency and monitor work
we kept a planning document and made minutes and agendas for our meeting. I have provided
the planning document and agenda and minutes of 2 meetings. These have been labeled
planning Appendix 6 (planning document) Appendix 7 & 8 (agenda and minutes of 2 meetings).
Task 2:
Before we set up we ensured that the laptop we were going to use was able to run the different
settings we required as well as ensuring that we knew that nothing could hack into the system.
We have met GDPR regulations by ensuring that we used a quiz app that was safe for others to
use and did not require them to input sensitive details and the feedback forms were kept
anonymous and no confidential information like phone numbers, addresses and emails were not
provided. We produced a risk assessment, which I have attached labeled appendix 9, where we
have assessed different risks and issues and how we would tackle each issue. One of the
issues we covered was Covid 19 and the issues we have with it, we will ensure that everyone
regularly washes their hands and remains to government guidelines by wearing face
masks/coverings (unless medically exempt) and social distancing. We also covered other points
about safety in the college, especially about intruders, therefore we will run over the lockdown
procedure (along with other procedures like fire) to ensure that the class is safe. There are
various other points we have made.
Task 3:
Issue How we will support this
We need to be made aware of cancellations
at least 24 hours before when we are due to
present this event. This is so that we can
Cancellations email over the presentation and the two
kahoot links over to the person to ensure that
they don't miss out on the opportunity. We will
not keep emails after this due to GDPR
