Managing An Event – Assignment 2 By Tabitha Duffill
Mind map of Event Ideas:
Group Secondary Research of Different Events:
Below is the group research we conducted of different events to see which kind of event we should
go ahead with.
Celebrations:
These events include a whole host of different things such as birthdays, prom nights and weddings.
The majority of these events can take place at any time throughout the year whereas some can only
happen at a certain time due to them being theme specific e.g., Christmas Party.
A prom is a key small scale celebratory event which takes place in 85% of school across the UK. A
school which regularly organises a prom for their y11 students each year is Dorothy Stringer High
School. One of the main purposes to have a prom night is to help develop the students social skills
while having a fun and enjoyable night before the students leave the school to go to college. This
event most often takes place in secondary schools and therfore a lot of the students have been
together for 5 years. This therfore allows there to be a final celebration before the majority of the
students go their own path and split up due them being interested in different courses at different
colleges. It is also a good chance for the teachers as well who have most likely known the students
for many years to also celebrate their time at the school.
As well as having a prom night, within the agenda there is also an awards ceremony where they
present people with different awards which the students have voted them for e.g., Cutest Couple.
This is a ticketed event in order to pay for expenses such as the venue and therfore there are no
profits made. This helps to make the night more enjoyable and bring people closer together.
In order to make the event successful it will need to take place in a day in which the most people are
able to come. This will also be an important part of the event due to the school having to pay for the
venue and other things such as catering in advance and therfore the school is relying for enough
people to pay for the tickets in order to pay for the event. Before the event takes place a plan of
what could take place is sent out to both students and parents in Y11 and this will allow the
,organisers to have a rough idea of how many people are coming and what they are willing to pay for
the tickets. Overall, this will then help them to decide their budget and to make sure that the school
doesn’t end up making a loss nor a profit.
Business Events:
These events are normally more formal and professions. These things can involve corporate formals,
press conferences and conferences. An example of a business event is The Oscars.
The Oscars is a prestigious event which takes the time to celebrate both artistic and technical talent.
The recognition is given through a variety of awards which is recognised on an international scale.
This event helps to bring together the best of the best within the film industry. There are multiple
aims of this event one of them being to ‘Recognise outstanding achievements collectively’. Not only
this but by awarding those within the film industry this helps to create friendly competition between
those within the industry. By creating this friendly competition, this helps to create advances within
the industry.
However, one of the main constraints of this event is that it involves a huge group gathering and
therfore had been significantly affected by the Covid-19 Pandemic. This has also slowed the
production of films and therfore this made it harder to judge those within the film industry. On the
other hand, one of the main success factors of The Oscars is the popularity surrounding the event.
This ensures that there is always a large ammount of attendees along with awareness of the event.
Due to popularity surrounding the event this allows Ampas (those behind The Oscars) to invest in
both U.S. and International TV deals which allows them to have the money to have The Oscars take
place. The overall budget for The Oscars for 2021 was $40 million+.
Entertainment Events:
These events involve events such as music events, an example of this is the Glastonbury festival. This
is a 5-day music festival in Somerset, England. This event is extremely popular and attracts more and
more people each year. Some of the aim which the organisers set out are the following:
- To have more people attend the event each year
- To encourage people attending and travelling to the event to take public transport
- To use sniffer dogs to reduce the ammount of underaged people using drug and alcohol
However again with an event at this size there are also constraints of the event. Due to the festival
taking place on an open field with no shelter, the weather is a huge factor as when the festival is
planned it is too far in advance to be able to predict what the weather is going to be like. In the
event of there being bad weather such as rain then there are tents which people are able to put and
due to this being a light-hearted event when it rains it can be hard to bring people’s spirits down.
Another large constraint of the event is sound restrictions and as the neighbours of the surrounding
area have previously complained about the noise being too loud has been taking place too late at
night. However, after coming up with noise management plan with the local council, they were able
to control the noise levels and reduce any unnecessary sound effects. This was shown when after the
event surveys were carried out the local reported that they were extremely good at reducing the
noise levels.
The main success factor for the event was the increased number of attendees which they had at the
festival. In 2019 the ammount of attendees were 203,000 which was an increase from 2017. Not
only this but there was also an increase in the profit made as in 2019 they reached £1.8 million
which helps to demonstrate the success of the event.
, Sport and Recreational Events:
An example of a large-scale sports is the Olympics. The Olympics involves planning a spectacular
games experience whilst creating a positive experience for those competing and spectating the
event. The key aspects which they focus on are things like transport, training venues, the Olympic
Village, accommodation, and food.
There are various different aims and objectives in which those organising The Olympics set out to
achieve such as:
- To deliver a high-quality experience based on innovative services
- The use of as many existing venues as possible, supplemented by temporary structures and overlay
if a long-term, affordable, and efficient use for venues could not be guaranteed after the Games.
- Ensuring that core values such as sustainability and diversity and inclusion were applied across the
board
- Connect people with sport. This vision drove our plans for the way sport was presented
- At the heart of this was a commitment to provide real-time results for every Olympic sport
However, with an event this large and complex it can be difficult to control every aspect of the
event. One of their aims was to provide live streaming of the event however this meant that the
ensuring that the 3G infrastructure in the Olympic Park could meet Games demand. Therfore relying
on technology cannot always be successful and this resulted in there being some streaming issues.
Another large issue which they faced in the run up of the event ws that they had goal due to Anti-
Doping and it was to collect 5,000 samples and deliver them to the laboratory for testing. In practice,
this involved a number of challenges, most of which concerned the unprecedented number of tests
and the personnel required to facilitate them.
However, there were also plenty of success factors with one of them being the number of attendees
to the event as they are always overbooked. Therfore event though they are overbooked the event
is deemed a success as the maximum ammount of tickets possible are sold allowing them to cover
the expenses of the event and earn a profit. Another large success factor is the large ammount of
positive feedback which they receive from the spectators. From four years before the Games,
LOCOG had a dedicated team considering every element of spectators’ customer experience and this
involves them conducting primary research. The end result was a positive satisfaction rate, with 97
per cent of those who attended the Games saying the experience had exceeded their expectations
Social Enterprise Events:
These events include charity fundraisers and can be both on a local and a global scale. An example of
a small-scale charity fundraiser is the Shaun and Eren Swim for Young Minds. This event involved
two people swimming across the English channel to help raise as much money as possible for Young
Minds which is a Charity which focus on the mental health of children. Not only this but the event
also helps to raise awareness for the charity. Eren and Shaun set out goals that they wanted to make
sure that they are achieved such as:
- To raise at least £2000
- To post their journey on social media
- To do presentations both before and after the event to help spread awareness of the charity
they are supporting
