What is Quality Management Systems and Why we use it:
Quality Management Systems is a type of mechanism which focuses upon managing and
optimising the fundamental processes such as quality planning, quality assurance,
quality control and quality improvement. This is ensuring that we achieve maximized
satisfaction given by customers at the lowest total cost to the organization. As an
engineering company it is essential that we use Quality Systems so that we can achieve
our quality-related goals.
By using Quality Systems, we would be able to apply for accreditation which shows
others that we meet quality standards internationally and it shows to others that by being
accredited, we can manage and put quality management systems into place. This is also
a means for us as an engineering company to gain competitive advantage, ensuring that
customers are willing to buy our products.
How do we as a company apply Quality Assurance Systems:




As a company, we should follow International Organization for Standardization (ISO)
because they have a set of standards called the 9000 series. The 9000 series helps to
supply quality assurance systems for companies like us as we are a manufacturer of
shelving and racking systems and with these standards it could be used to improve our
reputation through applying the standard quality management principles.
Yet in order to gain ISO 9000 certification, we must as a company check pass the 20
criteria of the series. This is to ensure that as a company, we are aware of the new
requirements up to date as the latest versions are constantly being revised since the last
one in 2015:
 Management Responsibility - This department designate the responsibilities of the
personnel who are participating in the quality management. A policy for quality is
developed and documented, comprehensive, implemented, revised, and

, monitored. Then the team member is designated so that they can overview the
implementation, review and also monitor quality systems.
 Quality System - This is a type of system that portrays how customer
requirements are satisfied, are prepared, and implemented.
 Contract Review- This is where contracts and purchase orders that have been
made are to be reviewed by the teams in order to make sure that they meet the
customer requirements. In case of any contract changes, they must be reviewed
and agreed upon by the team.
 Design Control-Involved organisational projects are to be planned properly and
throughout the duration of the project all parts must be documented and checked
upon. In case of any changes, these must be controlled by the qualified personnel
within the organization.
 Document and Data control- All the documents and data that are being handled by
the company, must make sure that they are controlled including production,
distribution, and disposal.
 Purchasing- The contractors and suppliers involved must make sure that they
have been evaluated and monitored including their quality assurance systems etc.
 Control of supplied product- When you accidentally have a damaged product or
lost product, it is crucial that when you report this to the company that the
product can be easily identified and handled correctly.
 Product ID and traceability –Making sure that products can be identified and
traced easily and carefully especially during Manfacturing, packaging and
customer delivery.
 Process control- All the product manufacturing stages are
planned,controlled,monitored and documented throughout the duration of the
stages.
 Inspection- When you supply materials to the company and in production and in
the final testing stage of product/service, they are kept up to date with regular
inspection.
 Calibration,measuring and test equipment- When you manufacture the product,
there must be accurate measurements and they are tested and reviewed upon.
Also make sure that your calibration equipment is regularly kept well cared for.
 Inspection and test status- When the products are fabricated make sure testing
has taken place and judgements then will be made whether they decide the
product meets the requirements or not of the inspections.
 Control of non-conforming product- When controlling products that fail the
standards, procedures are taken place and are to not be used but to be reviewed.
 Corrective and preventive action- In case you have any problem with anything, it
is essential that you know what the problem is so that you can review it and
identify the cause. This is ensuring that the cause can be corrected and that
effective approaches are taken place.
 Handling,storage,packaging ,preservation and delivery- When you go from
handling to delivery, it is crucial to document the complete process in order to
prevent product damage. Also, these procedures that take place must be reviewed
and kept constantly.
