In this assignment I’ll be discussing why it is important for Newvic’s Human Resources
department to plan for internal and external factors within the organisation. I will also
describe how the skills employees require carrying out jobs in an organisation. Followed by
an in depth explanation of why human resource planning is important to an organisation.
Internal and External Factors
These are the factors that narrate to what is happening within the business. This includes how
the organization is changing to cope with new strategies of operating such as the introduction
of technology or new products or services. This is also a way to consider the new skills that
will be required in the future and those that the existing staffs already have. The difference
between the skills present and not present are measured.
The factors that influence the business from outside are external factors; the planned markets
absorb the planning on how supply networks are managed and marketing resources.
Internal Factors:
 Organizational Needs

Employees should be able to adapt to the changes that is going around the business. In
specific period, the demand for the products would increase such as in summer the
demands for a retail shop would increase, as they would have to manufacture more shorts
or cold clothes so that they can meet their sales. When a business will have the
opportunity to make more money through entering new markets or even going
international they will, but in order for the business to operate they also need their
workforce and at that moment the employees who have language skills would be very
helpful. If a new inventory is used or the machineries are updated or replaced then the
technological change would require employees to have skills so that they can operate the
machinery. But for this some employees would have to be fired and some would need
training to use the new technological changes bought into the company. Organizations
tends to find ways to increase profits, in this way Newvic will have to train their teachers
and other staff members to adopt to the changes that are being endorsed in the college. If
they can adjust than it will benefit the staff as well, as if a new projector is introduced and
the teachers knows how to use it, then the teacher can use projector to demonstrate, show
videos and so much more to more than one students at the same time. But however during
the process the teachers and staff members might be frustrated if they can learn it or find
it hard to understand. But then Newvic would have to find suitable candidates who can
stand up for the changes and help the organization to carry on their path to success
through the technological advancements. For Newvic they don’t have to worry about
going internationally as it is a government funded college and hence they don’t have to
worry about employees having other language skills. The other changes would also not
affect many employees in Newvic as the teachers re highly qualified so they can cope
with most of the technological changes around them. But having dishwasher around
would definitely affect some of the catering staff members, as some employees would
have to be unemployed, as the dishwasher will replace them.

This is when a manager or someone with a higher authority can view and closely monitor
the employees working in the business. This is usually to find details such as gender, age,
ethnicity and readiness. Having monitoring the employees closely can help you plan for
the future and also ensures that the business is running under the legislation requirements.
If there are only old people working with the business than it can cause many problems
such as a change in technology will have a very significant impact on them, additionally
the years they could serve the business are being shrinked day by day. Assessing the
qualifications and training of the employees allows the business to identify the employees
that have special skills to be useful. All the employees cant have the same skills and this
helps identify the employee they need for a special task. As all the forums have a similar
details this makes it easier for the upper management to find the skills they need. This
also helps business plan further as they are able to identify employees who will be retiring
or have a mental condition that might cause their early retirement. By this way Newvic
can evaluate the list and calculate the number of employees they might need to recruit
more so that when the employees retire or leave it does not cause business some problem.
The reason that workforce profile applies to Newvic is that the senior management cant
help sort out, assess and evaluate the specific skills they are looking for this year. It also
helps by identifying the employee skills and transferring the employee to a right
department where he/she can fit perfectly to lure the business into success. This way the
employees will not feel ashamed as they will not be kicked out but rather be put in to the
right department so that It can help the business to achieve its target.
 Skills Requirement

Another very important part of Human Resource planning is to assess the skills of their
current labour force so that the business can identify the areas on which the employees
need to concentrate. As the nature and types of the work keeps on changing, especially
the courses that are being introduced in Newvic are increasing or updating so does the
skills requirement. Organizations must measure the level of the skills that the employee is
currently possessing so that the true potential of the employee can be identified as well as
the experience so that it could be promising to the management to keep the employee
within the organization but might transfer from one place to another in regards to the
skills. Newvic should measure the skills so that the employee could be at the right place
and at the right time for the business so that the students could benefit from them.
External Factors
 Government Policy

Government policies and the changes in education policies can lead to gaps in the
employee’s skills that now must be identified and differentiated. This applies to every
business even Newvic because each Law that the government implements, all businesses
must abide it. As Newvic is only a national business this means that they does not have to
follow the rules of other countries where as companies like Tesco would have to abide by
the International laws as well because the operate Internationally. A policy that that
Newvic has to follow is that the students should not cheat by any means, this means they
should be carefully marking exams to see that no one has cheated followed by the BTEC
