UNIT 4. LEARNING AIM D: UNDERSTAND THE IMPORTANCE OF MANAGING, STORING AND
COMMUNICATING SCIENTIFIC INFORMATION IN A WORKPLACE LABORATORY.
Explain how scientific information in a workplace laboratory is recorded and processed to meet
the needs of the customers and how useful scientific information is obtained from large data sets
and the potential issues and benefits.
What is URN and what is important.
URN is a permanent identifier which is assigned to the patient and used to identify the patient and
their clinal records. URN can be several identifications, identifying a resource number is important
because it has all the clinical records and their information stored there, this URN shall not be
deleted. The importance of URN is because it defines the person’s identity. It helps the client and the
server to find easily an information of that person. It has 14 digits. Nowadays, people can regenerate
the URN via online or offline.
URN stands for Unique Reference Number which is related to a security system. This number keeps
the same, it never changes. The importance of this number is because it has all personal data and
information which is useful for the police, GP...
Describe and explain why GP and pharmacy record data.
In GP data they record about diagnosis, symptoms, any revision or observation by your doctor,
medication, if a person is allergy, appointments, personal information... The service which the data is
record is called General Practice Data for Planning and Research data collection (GDPR). This data is
private which means it cannot share until the patient gives the consent to share with others. In the
NHS digital shows the name, address, letters, documents of the patient. Patients can see they record
by using the NHS app and sign in into their account. Now a days, most organisation record data in
digital record. The information recorded in GP is important because its record personal information.
Record data is one of the GP’s rules. The recorded data help to the staff in the hospital to know all
the personal details, medication, health problems of the patient. The importance of recording data
in GP is to improve and provide an appropriate health care for patients. The person in charge to
access the GP’s record are the staff of NHS but if a patient does not share the data out from the GP
practise, then the records are not shared.
In pharmacy record data about patent data, prescription transaction data, supply chain data,
therapeutic clinical and insurance data. The records must be recorded for minimum of 5 years,
patient details, the unlicensed medicine should be kept it, source of product for example the
manufacture details of the product, the quantity of the product for sale, the number of expiries of
the product, when there is a prescription the product contains the patient’s details, date and
prescription details. The person who stores pharmacy’s records have responsibility for them as it a
sensible data because it has personal information of patients. The importance of recording data in
pharmacy is because it is an important for the inspection of Department of Health to keep all the
records, prescription medicines and it helps pharmacists to access to any patient records and find
out their records. Pharmacy records the record in digital into a computer which allow them into an
access fast and secure than paper records.
, The importance of recording data is to record data of calibration equipment which can be helpful to
other people who work in laboratory. They record all the analysis and results of the activities which
are carried out in the laboratory for future workers to prevent any mistakes or errors in the practical.
Both organisation record data into digital storage which is helpful to access quickly and keep the
record safely. For employees will find easy and quick to access the information and help them to
save their time. Digital records are recorded until someone deleted them; other employees can
access to digital records from outside the workplace. The data are safe and secure in digital storage
especially sensitive data. The saved data in digital is more difficult to access into digital data than
paper records. Record data in digital storage can safe your money and time. The workplace will be
agile when the data is stored by digital way because it could let you to access from anywhere at any
time. However, digital records can be hacked from someone, and the data can be lost. The
information is used of each organisation to access personal records for example personal
information. The person who is in charge to access personal records are the staff, they can see the
medical history.
Now a days, they use digital records to record data as it more helpful and quicker than paper
records.
Paper and digital records.
Paper and digital are the two different ways to record data, the most common is digital records. If an
organisation requires to record the data into paper storage, then the records can be manipulated
and stolen in many ways. Paper records are storage in one site of the workplace which can be found
easily, but they are more secure to keep as in digital records can be hacked. Depends on how large
the organisation is can record data, if an organisation is small, they can record the data in paper and
digital record however, in large organisation can record data into digital storage which will be helpful
for them to record data as it’s a quick way to find or store information. The store of paper records is
expansive while digital records con store into a digital document and they are less intensive.
Between departments of companies communicate between them through email, verbal
communication, external customers, via intranet or use of logbooks. Science organisation like
laboratory, pharmacy, hospitals communicate with wider scientific community to share data and
scientist working in the organisation. The data is recorded and classified to allow large quantity of
data to be shared. In science data they recorded data related with healthcare, fingerprints, DNA
sequence and data related with population, how many living thins (people, animals, plants) surveys.
Large data can change regular, so informatics is specialised in this role of changing, modifying and
organise data.
Digital records can be accessed more quickly, and they occupy lees space than paper records, it can
be accessed from anywhere at any time. To keep paper records, it needs a large physical system to
keep them, however, digital records it can be recorded into a digital system using a computer. Digital
records can be protected by passwords, cards to control the access of data. Although, paper records
can be into a large physical system like room for paper storage and setting up a locked storage.
Paper records takes long to research the required data also someone can manipulate them and steal
them from there, someone can change the data, or the paper can be lost.
Meeting customers' needs.
The importance of meeting customer needs is to prepare a good business plan. When a customer
trust in a business or organisation it means they like the workplace and how the employees treat the
