Storing and Communicating Information in a Laboratory
Introduction
Large scientific organisations such as the NHS, have countless clients and patients that they
have collected personal data and information from. This data needs to be stored securely in
some sort of system that can easily locate files when they’re needed. Communication is also
critical in a workplace laboratory. If communication is lacking in a workplace, it could lead to
inaccurate results. Communication is known to increase efficiency and organisation in
workplace environments.
Most workplaces have work by depending on teams or groups that are led by someone who
is higher than them in the hierarchical structure. This is so that there is balance within the
team and everyone can be instructed to carry out tasks. Moreover, when carrying out tests
or experiments it is important that they’re communicated to those who must know the
information. It is also crucial that the members of staff use the correct scientific terminology
to communicate with one another. This helps to reduce errors or misinterpret instructions or
other exchanged conversations.
Meetings are an efficient way to communicate subjects such as health and safety, new
regulations or new plans and decisions. Meetings allow everyone to engage and further their
knowledge on the current affairs of the workplace. In most workplaces, there would be
visitors or new employees that need to be introduced and informed about all of the
workplace regulations and issues. This could be about health and safety legislations,
hazards, lab procedures or how the workplace runs daily.
Emails are one of the most common ways to professionally communicate within the
workplace. Emails are safe, efficient and effective. In some workplaces, you may find things
such as bulletin boards or notices in a leaflet format to spread information on current affairs.
Another way to communicate is by displaying signs in hallways that have information such
as where the closest fire exit is or identification of specific rooms and labs. Signs can come
in many different formats and sizes with drawings to alert and remind those in the workplace.
However, the most efficient and effective way of communicating is verbal communication.
This is because everything can be understood in one go. Any misinterpretation can be
sorted right away as well.

Traceability is the ability to ensure that the data is completely traceable across the entire
organisation. With this,you’re able to trace your data back to its original source very simply.
When looking at reports or source systems, data is very important. Without data traceability,
you cannot guarantee that the entirety of the data is reliable or even correct. This may affect
future decisions or outcomes. Data traceability also protects the accuracy of the data
because you can track it from where it initially was in the beginning to where it currently is.
Here are some things that organisations may do to keep their data traceable:
● Making sure that data is not copied or distributed as there should only be one copy
● Having a traceability system that shows how data is sent or accessed by a higher
member of the organisation
● Produce logs for every time data is accessed or transferred
