The reason for my chosen event

Introduction

In this document, the content shall cover what my event is about and its purpose, an analysis of its feasibility,
any measures for its feasibility and the reason for my choice using the feasibility information as evidence,
produce a detailed plan for my chosen event using planning tools, detailed budget and consideration of risk
assessment and contingency planning and an evaluation and justification of the feasibility plan, tools, budget
and risk, making any required contingency adjustments.




My Event

The event we have chosen is to hold a football match of sorts at a local park, making it easily accessible and
providing authentic scenery for the event. The match will contain a various amount of refreshments mainly
consisting of bottled water, enough chairs to consider how many people will attend the event, common sugary
snacks to brighten the mood with iced goods if the weather demands it and space to keep people with their
family at a safe distance for a small fee for entry that should cover the cost of buying the snacks and resources.
The event will be in the last week of school leading up to the summer holidays after school ends to make the
event seem like a reward from the stress of school and its responsibilities and to maximise the attendance rate
as it isn’t during working hours.



The snacks, chairs and water plan are:

1. The snacks and food: To have the snacks displayed around the crowd’s seats and some staff covering
the area around, handing them out to the audience, and every 1/2hr – 1hr put the snacks in a cool
place and switch them for fresher snacks to keep satisfaction high.
2. The water: The water will be in coolers placed around the stands in ice to keep it fresh and the staff
surveying the area will have water on them and every 20 – 30 minutes they shall put the water back in
a cooler to keep the refreshing quality of the water.
3. The chairs: The chair would be seated 6 in a row, with 5 columns each side accounting for space
because of social distancing, with enough chairs for families and if so couples.



Purpose

I have decided to do this event, because the event has the one thing that makes any event popular,
competition and the determination to win, the competitors would provide the entertainment and the staff will
provide the fuel to keep the crowd going. Another reason is because getting the players together from
different areas would not be a problem and its cheap as its free entry for players to sign up and begin training.

The purpose of the event is to raise money for the Brain Tumour Charity, as it will be a good chance for
contestants to prove their superiority and it will raise money and awareness for the charity and improve the
college’s reputation for a cause that everyone can support.



Feasibility and feasibility measures

Feasibility is the likeliness of the event being successful, but it can also affect the organiser, staff and audience.

, A crucial feasibility element is adequate funding to host the event itself, we have sufficient funding, so the
event is financially feasible.

Another important feasibility measure is the extent of support and concerns that may arise. This event is
supported by the college and the charity we are raising money and awareness for, meaning it will make a
positive contribution making it feasible.

Many factors contribute to the success of an event meaning there is a feasibility risk as well as a feasibility of
success, which should be well evaluated and understood. This prevents any monetary loss, minimises injury
and improves the in use of equipment. There is an alarm of financial risk with this event and to ensure safety
and no monetary loss a risk assessment shall be carried out.

Time feasibility is a crucial element of the event as it has many key factors that it influences as it determines
whether there is time to plan and make the necessary agreements to stage the event. This includes the
facilities to book a venue at a suitable time, gather all need equipment and resources, also time to give the
participants and audience a chance to propose attending the event. The event is time feasible as we have
carefully gone over all possible timescales and have selected the best proposal and time of day of the event.

Funding feasibility is important, meaning you have calculated the financial expenses and outcome of the event,
the main factor of financial wellbeing is the feasibility of the event going ahead despite the major loss of the
main source of income and the expected cost rise in the event of miscalculation, which is why a contingency
budget should be available. The only risks of the event affecting financing is the miscalculation of resources
and other equipment and the possibility of making no profit after the event, because the event is a medium to
excessive cost so it’s a mid-range risk that should be factored in for the outcome of the event.

Venue feasibility is responsible for accounting for the venues location to ensure its reasonable for the event
and it has the capacity to hold the crowd attending it. The venue is big enough to accommodate the crowd and
is suitable for the event type making it feasible. The venue’s facilities are adequate to take care of the
attendees needs before, during and after the event to make sure it has the best attendance rate with the
proper facilities near the event making it more feasible.

Staff feasibility is the human resources needed to organise, setup and stage an event of this magnitude. It is
necessary to assess whether the event has enough staff to cover all management tasks to setup and run the
event, and we have enough students working on this event and enough in our team to ensure its success.

But due to the pandemic and the reduced amount of space the venue has available, health and safety risks will
exceed expectations, with all attendees having to social distance and the players unable to come within 1 or 2
metres of each other making this event less feasible or successful if the players need to avoid. We have
factored in these risks, and we shall be having all the players take a test to check if they are positive or
negative to ensure the crowd’s and their safety will be wearing masks and the players won’t be, because the
fresh air will keep the risk to a minimum.



Reasons for my choice

We chose to buy our own chairs, water, snacks, food and other resources as they are a low cost that will not
impact on our set budget and will make a good contingency budget in case the event needs extra last minute
resources.

The inspiration for this event was gathered from experiencing the football from the seats, which allowed me to
gather research on the whole setting of football events, so hosting a football match close to the summer
holidays would be the most successful time to run the event.

By hosting the event at a nearby park it is becomes easier to gain attendance if it is hosted near to the college
making it simpler to organiser physical resources as well as staff to just organise the seating arrangements as
many physical resources and facilities are already here.
