P1- Explain the Roles and Skills Required to be an Effective Events Planner
It is Important for an Event planner to have specific skills and roles to be successful in organizing an event and
beat the highly competitive environment. There are 9 main skills of an event planner. These are Organization
Skills, Problem Solving, Time Management, Communication/ Interpersonal, Working well with pressure,
Budget Control, Negotiation Skills, Attention to detail, and Planning Skills.
Organization Skills -> To be successful as an event planner they must know how to be organized. To ensure an
event goes well it must be well planned and organized and every small detail must be thought about. As well
as ensuring the event is organized an event planner must also organize their team to make sure that everyone
works effectively and efficiently, which will also lead to a successful event.
Problem Solving -> Problem solving is important to be an effective event planner because throughout the
planning of events and during events there will be many problems that will need solving. It is important for an
event planner to know how to solve these problems correctly and quickly for there to be a successfully
planned event.
Time Management -> This is an important skill for an event planner because businesses they are working for
or with expect them to finish and hand in a project or their work at a given deadline. Many projects will
require a plan to be ready at a certain time and date to make sure that everything is ready before the event.
Communication/Interpersonal -> Being Good at written and verbal communication is important for an event
planner because they will be communicating with people throughout the planning of the event.
Communication skills are important because the event planners will have to communicate with their team to
ensure that tasks are completed correctly and at the right time.
Working well with pressure -> Being able to work under pressure is important for an event planner. This is
because throughout the planning process there will be things that need to be completed at a certain time and
there will also be things that might go wrong or not work as well as they thought. They need to be able to deal
with pressure and stay calm to ensure every task is completed and to make sure that no further mistakes can
be made.
Budget Control -> Being able to calculate expenses and profit is important for an event planner. This is
important because when you plan an event you must stay in the budget because otherwise it can lead to
changes in the potential profit and could lead to a loss.
Negotiation Skills -> It is important for an event planner to have good negotiation skills because they must stay
on a budget to make sure that a business makes a profit and no losses. They might have to negotiate prices to
ensure this.
Attention to Detail -> Having attention to detail is important in planning an event because every little thing
must be thought of and planned to have a successful event.
Planning Skills -> It is important for an event planner to have good planning skills because the plans need to be
detailed and there must be back up plans in case things do not work out or things go wrong. They must be
able to make sure everything is thought about, for example, not just the actual event but also external factors
such as weather. They also must be able to produce back-up plans and be prepared for any changes.

, Roles of event Planner
The key role of an event planner is to plan and run a successful event with minimal mistakes. Other roles of an
event planner include Planning, Management, Marketing, Research, Communication and Budgeting.
Planning-> After being hired an event planner will have to find a venue to have the event. They will have to
make sure that this venue is right for the event. This venue will then have to be negotiated to make sure the
price is right and reasonable for the event. The event planner will then have to plan everything else in as much
detail as possible to ensure that everything is thought about and there will be minimal mistakes. There will
more than likely be deadlines for all the planning to be completed so they must ensure that the planning is
completed on time.
Management-> Event planners will have to manage a team of staff and be able to support them in decisions to
make sure that things run smoothly, quickly, and efficiently. Event planners will make important decisions like
deciding how they are going to market the event to consumers. Without an event planner being able to
manage and support a team an event is highly likely to be unsuccessful and lead to many mistakes in the
planning process.
Marketing-> Marketing is especially important in planning an event. This is because it will decide the success
of an event. If an event planner markets to the wrong audience, they will not have a successful event. There
will be a marketing expert among the staff who will help the planner with how to market an event.
Research-> Research is important to be able to plan an event. The research needs to be in detail to ensure that
the event is successful. An event planner will use both primary and secondary research to do this. They could
use primary research by doing their own research, for example trying out things before the event and seeing
whether it works or not. They could also use primary research to do questionnaires, for example so they can
find out what people would like to see at an event. They could use secondary research by using old reviews for
similar events or finding out information from people who have run a similar successful event.
Communication-> The event planner will constantly be having to be in contact with people throughout the
planning of the event. They will have to be in constant contact with their staff to ensure they know what they
are doing without misunderstanding and to ensure tasks are completed before the deadline. Communication
is important between event planners and suppliers or owners. This is because the event planner will need to
be able to communicate about what the event is about and what the event planning needs from them. They
will also use communication to negotiate prices, which is important in planning an event. An event planner
being able to communicate will also be able to create and build relationships with staff and suppliers or
owners.
Budgeting-> An event planner will have to make sure to budget and track costs throughout the whole planning
of the event. They will need to track how much they are spending and make sure they are making as much
profit as possible. If they miss something or calculate something wrong, they could end up making a loss which
can throw off the overall profit.
