There are many circumstances in which Style Clothing would adopt
computerised accounting systems instead of a manual. For example, one of the
computerised accounting packages is Microsoft excel “Microsoft Excel is a
software program produced by Microsoft that allows users to organize, format
and calculate data with formulas using a spreadsheet system” Microsoft Excel
has many features and functions that are suitable for Style Clothing. “In
addition to containing plain text and numbers, cells can contain formulas,
which always start with an equals sign.
With a formula, Excel displays the result of an equation in a cell, but
automatically keeps that result up-to-date as you change its components.’’ One
of the functions of Microsoft Excel is that is the calculations tools, the user can
use many different formulas for automatic calculation. “A formula is an
expression which calculates the value of a cell. Functions are predefined
formulas and are already available in Excel.” The user just needs to enter
specific symbols and the programme will come up with a list of formulas that
can use for automatic calculation.
This feature is beneficial such as for when creating cash flow, or for when
calculating the VAT for sales books and ledgers. This feature of Microsoft Excel
is suitable for Style Clothing as it allows a faster calculation process, this will
help save time for the company’s employees, and they will have time to carry
out other tasks. Formulas for automatic calculation also will help prevent
mistakes and errors that can be made using manual accounting because it does
not involve any automatic calculation, the employees have to do it by
themselves, and mistakes can waste a lot of time as it involves the whole thing
to be done over again.
Time is the most things for businesses which makes automatic calculation
suitable for Style Clothing. Automatic calculations make it easier and faster
when preparing a cash flow.
The second feature of Microsoft Excel is formatting, it allows the user to view
the financial data in many different charts and formats, this is appropriate for
Style Clothing as it allows them to present data in different that are
appropriate for some of the data, and also helps to read the data more clearly.
