Planning an Event in the Light of Research
Introduction
In this report, I will be talking about five different types of events in detail, while developing
insight into what’s required to ensure their success. I’ll then discuss our event proposal
taking into consideration its feasibility, while progressing onto its aims and objectives to
ensure it meets all its required requirements, for example, catering requirements, venue
facilities, and access budget constraints.
Different types of events - what makes them successful?
Business
There are many different types of business events, these being Conferences, Tradeshow,
Meetings, Convention, Corporation events, Association events, Product launch, Incentive
travel, and Congress. They all share similarities as they bring people together in a face-to-
face situation to exchange ideas and information. All these events have the same element
and goal, they also plan an event at least once within a financial year, although all these
business event types have one common aim which is to further the financial position of the
business. Exclusivity is a type of success factor for example if you throw a corporate event
that just anyone can go to, attendees are unlikely to feel special. You may be able to get
more people to come if your event is an open invite, but creating an air of exclusivity will
leave guests with the feeling that your event was “great” and not merely “good.” A great
example of an event with a strong exclusive angle is Smart Group’s Twickenham Rugby
hospitality package. This event takes place in a VIP venue adjacent to the stadium and
boasts the presence of English rugby legend Martin Johnson in attendance every time. Your
budget will play a major role in defining every aspect of your event planning; therefore, it is
crucial for you to know how much everything will cost. You should plan carefully to cover
each element of your event, ensuring your priorities are clear as you do so. For example, it’s
sometimes worth selecting a more budget-friendly catering option so that you can invite a
greater number of guests, whereas on other occasions it may be important for your brand
image that the event is notably high-end, which will probably mean that the guest list has to
be a bit more exclusive.
Sporting
Sporting event means a contest in which people, animals, or machines compete individually
or as teams for the purpose of winning a race, game, contest, or other competition. The
purpose of sporting events is to use, maintain or improve physical ability and skills while
providing enjoyment to participants, and in some cases, entertainment for spectators. Sports
include all forms of competitive physical activity or games through casual or organised
participation. Sporting events are no different to any other events and have a wide variety of
events fit for specific purposes, these including; tournaments, training camps, coaching
, courses, outdoor educational events, sponsored events, competitions, and expeditions, like
most events these are held on a yearly or reoccurring timeframe that is specific to its needs.
To have a successful sports event you should create an attractive visual to ensure that you
entice your attendees to discover all that you have to offer by creating custom branded
visual displays. The event organisers should seek a company that delivers durable products
at affordable prices, but most importantly they should position these promotional, visual
pieces in a calculated manner to draw attention to your event. Finding a sponsor for your
sports event is another success factor. This is because partnering with the right business or
municipal sponsor can make all the difference when facilitating fun and successful sporting
events. They should find businesses that can help to defray some of the costs of putting on
the event, while also creating a mutually beneficial relationship in the process. You can find
volunteers or low-cost event staff from these partners, and even barter services or ad space
in exchange for giveaways or branded prizes. To have a sporting event that is well organised
and run efficiently you should be able to follow a series of steps, this will enable and ensure
the success of your sporting event. An example of a sporting event is the Rio Olympics
2016, “The Olympic Games Rio 2016 were the most consumed Olympic games ever, taking
into consideration broadcast coverage viewed on television and digital platforms, as well as
engagement on social media. Stunning backdrops and iconic venues also helped create
unforgettable moments.”
Entertainment
There are many different types of entertainment-based events around the world and they
meet the specific needs of particular people. There are many examples of entertainment
events for example festivals, music concerts, theatre acts, cultural celebrations and art
shows, all these events can satisfy different needs. These examples are time-restricted.
They'd either be a one-day event that happens once every year or the event could last a
month. When it comes to the purpose behind organising an entertainment event there are
many reasons, firstly to entertain and please your guests by providing them a well organised
and rehearsed performance, show, activity, and concert. I also believe that entertainment-
based events would also boost tourism in your country. This is because people travel from
all areas around the globe to come and attend your event. They have another purpose which
is to make a profit and grow their business through selling tickets, this will allow them to
expand and bring in new services and experience for their audience. They could potentially
relocate their event into a bigger and better surrounding through the use of the profit. In
order to have a successful entertainment-based event, you should make sure and plan that
you follow a clear and strict budget that identifies all the likely costs that you may have and
everything that will be incurred throughout the event. Next, as I mentioned before you should
think about your venue location, you should pick an appropriate and suitable location as this
is a key factor for your attendees and performers. There are a couple of things that you
should take into consideration when planning your location for instance; is it easily
accessible, is there public transport, parking, eating areas. Lastly, you should think about the
safety at your event, you will need to make sure that you have security to make sure that
everyone is safe.
Celebrations
A celebration event is a special enjoyable event which people organise because something
pleasant has happened or because it is someone's birthday, wedding, anniversary,
promotion, baby shower, family reunion or graduation. Although there could be a celebration
