Unit 4: Business Communication

M1: analyse different types of business information and their sources.
There are five types of information used in business on a daily basis to ensure that communication
and information shares correctly and effectively. These types of information include verbal,
written, on-screen, multimedia and web-based. Furthermore, in this assignment, each type of
information will explained, along with significance, benefits and limitations and the importance of
where the source of information was originates
 Verbal Information
This type of information is the interaction between two or more persons using the action of speech
to send a message and listening to receive the message. Verbal information can be a face-to-face
conversation, a telephone conversation or a meeting with a group of people whether small or large.
Verbal information is the most suitable and effective way to communicate with someone rather
than the other methods listed above. HSS Hire is likely to benefit from this method because it
prevents less misinterpretation. Using other methods can cause misunderstandings if conveyed to
the other party incorrectly. It also saves time because you can give and receive clear instructions
within minutes and provide a clear explanation if it is not understood by the person receiving the
message and provide feedback quickly. With this way of communicating, you can also maintain
confidentiality and avoid breaches of privacy. They will use this method of communication in
meetings to have conversations about the business such as decision-making, discussions about
events, activities or new additions to the business, etc. This will ensure that everyone
communicates and get their ideas/opinions across clearly and determine solutions to any problems
within the business. They will also use it during the process of recruitment such as the training
process as well as the interview process. This will ensure that they hire the right employees for the
job.
 Written Information
This information is the combination of characters and symbols to create words and sentence to
form a message. Written information can be a letter, email, memorandum or any form in which
the message conveyed is written.
This is another suitable way to communicate with people. This type of information is saved for
later referral for it creates a permanent record. It can also save time if you are trying to send the
same message to a large group of people. It can also be very effective if the message sent is written
clearly and the receiver will be able to understand it without any complications. Written
Information is used for many reasons in HSS Hire for many things. If they would like to contact a
large group of customers to inform them with the same message, a letter or email can be created. It
can also be used to send updates to employees about anything new in the business such as
upcoming meetings or visitors. They can also use this method to book appointments if they are
using a manual over electronic system.
 On-Screen Information
This type of information displays on screen of a device where it is viewed. It is a combination of
text, graphics and audio and sources including TV or CD-ROMs.
This method is beneficial because it is easier to understand a visual concept to some people. The
organization can use this method in meeting if they would like to explain something to their
employees that may be long. Instead of reading black text on a white background for hours which
may become boring and cause people to become distracted, a visual can be created because it may
