● Business Process Background
The business is a bespoke bike shop that runs on a paper based system. The current
paper based system is slow and inefficient as orders need to be manually brought
down to the workshop and the paper documents oftenly go missing and restoring
them takes even more time. This current system has too many faults and needs an
immediate upgrade.
[Brief description of the business process under investigation]
● Investigation (Teacher to play the part of the employee)
Starting our investigation we decided to question an employee of the business
whose current role resides within the workshop. The reason we chose this employee
is because they are the most affected by the current paper based system as they are
the ones that build the bikes and the information on parts and materials needs to be
on hand at all times. Another method of investigation we used was a hard copy of an
order form. This was provided with the assignment brief and gave us a greater
insight of what customers have to do to make an order and what the business
receives. The order form is a simple piece of paper that has to be filled in by either
the customer or employee who would receive the details over the phone and input
them onto the order form. The last bit of evidence we used for our investigation was
the written instruction on the assignment brief. These instructions gave us an insight
of what happens from the initial order of the product to the eventual completion
and dispatch of the product. Fortunately we were given the current business process
in the form of these instructions and we can use them to greatly improve the
business process as we have received not only enough insight on the business but a
greater understanding of how the employees function and their thoughts on the
current business process.
, Have a meeting with one of the staff from the shop and discuss with them current
ordering process, and review the attached order form, taking notes on your
discussions
