internally (to employees) and externally (to customers, suppliers, etc.) in a
business environment. This can be either formal or informal, although in a
business setting formal communications are used more often as it is more
professional. Formal communication uses a professional style; is
grammatically correct and doesn’t use slang. Use appropriate language
and salutations in correspondence. i.e. a casual “Hi John” is not
appropriate when corresponding with a professional you have not met.
You must also know what the purpose of your communication is i.e. to sell
something, or request information, or get a signature. This will help
ensure that you use the right method of communication.
It is important in business to communicate effectively to avoid
transmitting inaccurate information which can cause offence, lose
business or put the organisation in a position where they receive
complaints or can be sued.
Adapting communication to suit your audiences
To make sure you communicate appropriately, you should know what your
audience requirements and preferences are and ensure you meet them.
For example tailor information for specific groups of people.
Age and attention Span – communications for younger people
should be shorter and have a less formal, friendly style and should
be in language that is appropriate for their age. Use of images may
also be appropriate.
Special needs and accessibility – the size and font of the document
