Task 2b – Event Plan
In this piece I will be outlining considerations for my planned event and then I will discuss its
feasibility.
Produce a detailed plan for your chosen event using planning tools, detailed
budget and consideration of risk assessment and contingency planning.
Producing a plan is essential t an enterprise or person who is attempting to receive a reward of some
form through providing an event that others will attend.
Aims and Objectives
To begin with I will be talking about
the aims and objectives of the
event. The event that I will be
holding at Betteshanger park is
attempt to develop teambuilding
and this will be achieved though a
series of well-planned objectives like
demonstrating skills related to this
while interacting in a series of sports
and tasks.
Detailed Budget
Budgeting is important otherwise
certain objectives may not be met
when there is not sufficient funding
to get everything done.
Demonstrated to the right, is my
budgeting plan in relation to the
event planned. This ensures that
everything operates and runs
smoothly on the day and goals of
the day out has an increased chance
of being met.
Resources
The resources of an event are also
another important factor as it will
be essentially what the
teambuilding attendees will be
doing while undergoing different
activities planned. Ensuring that
they meet the standards of either
the game or activity will result in the optimum outcome in terms of developing the teamwork
between individuals. Resoursources used in this event will be supplied by Betteshanger and for my
specific event will consist of mobile phones, for photographing orienteering landmarks, the park
1
, itself and printed maps for the park with destinations that will be needed to travel to. We will have
another piece of paper that will allow us to count p scores and determine the overall winner. Who
will receive a grand prize at the end with will also be another resource we will have to consider.
Catering Requirements
Catering is a factor that goes into a plan, that may or may not be necessary. For an event that will
last longer, people will want to remain satisfied and contented all while maintaining focus. If it is
physically demanding then food may also be a good idea to increase interaction with the event. This
does not mean the food has to be free and could be an additional financial gain for the event
planner if set up correctly. In bigger events you may see business pay to have their store on group
and instead of taking percentages of profits the event manager may just sell spaces. Theorists of
leadership and management have discovered that their employees are more motivated to get work
done if catering is incorporated and this can be translated onto events if the company is big enough
to supply and the event is suitable.
Betteshanger does have a café to ensure that people can get refreshments and sustenance.
However, it was made clear that if you are attending and not willing to pay for food then a packed
lunch is suitable.
Venue, Facilities and Access/Parking
The venue selection is essential to ensure that problems are minimised but also to ensure that all
goals and objectives of the company is met and people get the most out of the experience.
Betteshanger was chosen because it meets all the wants and needs to ensure that these objectives
of developing teamwork, this is because they have a varied supply of facilities and open area that
activities could be easily held and operate smoothly without interference of issues like other people.
Food was also an option for people who wanted it with satisfactory seating indoor and outdoor if a
break was required.
Additionally, access was slightly out the way, but I decided that the school minibus could be
scheduled to ensure we have transport to and from the event site. Parking was perfect here as it was
on a large lot of land that was well organised to ensure there wasn’t any safety issues.
Legal Constraints, Including a Full Risk Assessment
The goal of a risk assessment is to identify potential sources of disease or injury, determine the
likelihood that this will happen and how badly, and then take action to reduce the risk or, if this is
not possible, to control it. A series of risk assessments were held to both for the school and the
activities conducted at Betteshanger. The images below demonstrate this. It encompasses
information that relates to the event, who is going and types of risks and action that will put in place
to ensure that this is mitigated.
The risk assessments for the Betteshanger Park activities have already be covered and links to these
will be implemented below.
