Learning aim D: Stage and manage a business or social enterprise event

P7: Stage an event, demonstrating some relevant management skills.

Contracts for venue: Suppliers and Personnel
The contracts for a supplier in a football event in this case would be referee because without a referee
the match cannot be proceeded as there will be no officiating provided which can lead the match to be
unfair as there will be no enforcement of rules on the pitch whenever a particular player commits a foul.
Therefore, for a game to be fair there must be a referee to supervise the match in real time to impose a
disciplinary actions against players and coaches and it allows the referee to act as a safeguard to ensure
that match will be fair as possible knowing that there’s discipline code active that can lead to a player to
get sent off the field from yellow cards and a red card. Fortunately, there will be no contracts for this
event as I will only be required to ask for permission from site managers by contacting through email;
asking if I’m permitted to use the premise and facilities for a set period of time. Therefore, there is no
costs required for the venue which allows me to have a higher disposable fund that can be allocated to
be spent elsewhere that will contribute to higher likelihood for event success. For personnel would be
linesmen whereby they are in control of indicating when the ball is out of play that can lead to a throw-
in, corner kick and goal kick or whether its offside or not. The 2 linesmen would be a hired from a group
of friends that I have, and they will also do not require any costs as they will be volunteering to help and
support to raise as much fund as possible for charity. This can only be done by an exceptional negotiation
skill whereby I describe my aims and objectives in organising a football event and what's the benefits
behind it. With convincing tone of voice and persuasive language I was able to be permitted to use the
premise and the facilities from hearing about the positive outcome of the event that it has to offer;
raising funds as much as possible for charitable cause.

Marketing of the event

For advertising the event, I will create leaflets that I will distribute to the students in school and along
with the posters that will be hung up onto a wall in a way that can stood out to the public whenever they
pass by. This will increase the likelihood of gaining more sales as I’m increasing awareness of the event
which in turn enables me to receive more participants. This can be accomplished by designing and
creating posters and leaflets through word documents and have them printed out in colour on a A4
sheet of paper as its size.

,Sponsorship
To increase the customer base even further, I can sponsor the event that can reach to people that are
external meaning not from the school. This will increase the likelihood of the tickets to be sold more
efficiently before the event begins allowing me to maximise the profit. The sponsorship can be done in a
variety of social media platforms such as Instagram whereby the cost of impressions (CPM) per every
1000 will cost me $6.70. As a result, when there’s an increase in visibility of the event externally as
gaining 1000 views of the event will increase the potential profitability rate.

Customer service
The customer service is crucial to have especially when hosting an event where it involves generating
sales for charitable reason as it can influence the willingness amongst consumers whether or not they
should spend money to participate the event. Hence, the customer service must be held in the upmost
standard and to accomplish this I will have myself to be polite and well-mannered along with the
workforce. Moreover, to ensure that customer service is good I can have a box whereby consumers are
able to write a review about how they feel about the event. This is beneficial because I will be able to
receive feedbacks from consumers which can allow me to fix on issues that they have with the event.
Therefore, allows the event likely to be successful when consumers need and wants are taken into
account as it shows that as an event organiser, I value their participation and to show gratitude for them

,for being able to be willing to spend their own money that can help a charity organisation. Thus, during
the event the personnel and myself must be well mannered whenever we interact with participants to
prevent any conflict that can ruin the event. This will be done by having a good communication skill from
use of well-mannered tone of voice to maintain a good standard of customer service that can keep the
participants satisfied. Moreover, with good communication skill, I will be able to display empathy
towards participants by making a full acknowledgement of their needs and wants. Therefore, I will be
able to establish a healthy relationship with them and if there was to be a complaint relating to the
event, I will use police manners such as rational and non-interrogational approach to help the customer
with any issues they may be facing. That way I will be able to have a better acknowledgement of their
issue rather than getting into an argument that will not be able to resolve any problem as it does not
provide me an understanding of their problem.

Security and health and safety
The health and safety of the event is highly crucial as a gratitude especially when participants have taken
the time out of their day and money spent towards an event that was optional for all. Moreover, it is also
to ensure that the participants are in a safe environment that cannot inflict their physical wellbeing
where they can feel secure. To accomplish this, I have conducted a risk assessment whereby I will check
that the football pitch does not have any sign of hazard before the match proceed such as glass shards
and rocks that can seriously injure the participants if players where to collide into each other causing 1
to fall onto the floor, etc. By doing this, the event will be safe when the field is clear; since football as a
sport is physically very demanding where there can be fouls that can be committed during the match
quite frequently which can lead to players prone to severe injury if the pitch is not cleared properly.
Below is a picture of a broken glass bottle (Figure 3) that I have found on the Astroturf, if this had not
been cleared immediately, players are prone to a severe injury.

Figure 3

, Additionally, to further ensure that players are safe, there will also be security in place to prevent players
from being attacked by spectators that are watching the match. This will be done by offering a contract
to safeguarding officers with a payment of £10 for each individual officer when patrolling for 1 football
match as the event is on a tight budget. Lastly, before the event there must be an emergency first aid kit
on standby assuming if there is any health and safety issue such as severe injury that needs to be treated
immediately that occurred during the match. The safeguarding team will also be present so that they can
dial for an ambulance while a player is being treated with first aid and with a priority to crowd control
the audience and the players to prevent stampede onto each other which can cause injuries and worst-
case scenario even death if an individual is not given enough space to breathe oxygen. To ensure the
health and safety to be at good standard, it can be achieved by having a good organisational skill
whereby I will set myself up a plan that includes a step-by-step method of me ensuring that the event
will be safe for the participants when conducting the risk assessment of the astroturf to check any
potential hazards that can cause severe damage. By having a plan, it will increase the likelihood of
getting the astroturf to be safe for the opening event by then and reduce possibility of a risk factor to
occur. Additionally, another health and safety issue can be prevented by advising the participants to
wear protection gear before the match such as shin pads to reduce the severity of the injury if a player
was to be fouled on the pitch.

Monitoring procedures

Catering: The catering group will be strictly monitored by me during the event to ensure that the prices
of the foods are reasonable for the participants to be encouraged to cater themselves as food can be
wasted if not fully sold and eaten. Moreover, when prices are low, people are more likely to purchase
more which can lead to an increase in sales that can contribute a lot to charity; being able to increase
the fundraising potential that an event will have. Furthermore, the water provided must be sufficient
enough for all the players to hydrate themselves to prevent any dehydration caused by the intensity of
the sport and to ensure that the players are able to regulate their body temperature when replacing the
sweat they’ve lost with water.

Facilities: Another procedure that should be monitored is facilities. This is because to ensure participants
are satisfied that can increase the likelihood of the event to succeed, facilities provided must be held in
the upmost standard. For instance, toilets must be clean and adequate enough for both spectators and
players to be used without a feeling of disgust and to protect them from accidents such as slipping onto
the floor if it is slippery from the floor being wet.

This can only be possible by having an effective time management because grouping up every member
of the team requires good scheduling that can fit into everyone’s timetable without causing a disruption
to their delegated tasks assigned by me. Additionally, having everything set up in a good condition
before the event proceeds takes a lot of time management and can only be possible by spreading tasks
throughout the day so that it can be done in time whilst simultaneously not having a significant impact
on our mental wellbeing from exhaustion caused by fulfilling tasks as it is done one by one and not all at
the same time which makes event organising more efficient.
