Task 1
‘Identify the information systems that will suit and fulfil all of TLC’s requirements.’
Throughout task 1 of this assignment I will be stating the information and data each sector
will be required to have, I will then advise software programs in which TLC can use and in
turn become more effective. Prior to this I will be looking at both the features and benefits
of Management information systems.
Features of a Management information system
A MIS (management information system is a decision support system in which the form of
input query and response is predetermined. It is often summarised from an information
system. It is used where the management would like to ask the same questions frequently,
though perhaps about different subjects.
An example of a typical question asked in TLC would be:
• How many learning sessions did the student attended against how many sessions
were available to him/her? From the data gathered a percentage should then be
formed.
Student’s records management system
Student’s records will have its own information system in place, the records will hold
information about the students such as their: gender, age, disabilities and living address.
The student records will also gather data such as their: attendance, past grades and
predicted grades.
The information management system will provide answers to these two typical questions:
• What the punctuality and attendance of the student is
• If they are achieving their predicted grades
My recommended software
A student record management system I would recommend is Alma.
Why do I recommend Alma over all other available software's?
Firstly I would like to say that the only reason I found this software was because it was very
highly recommended by its users and was mentioned a lot online.
I will now provide an overview of what the software will provide to TLCs organisation, the
software will include the:
• Attendance records
• Reporting records (this allows instant access to data).
• Report cards (you’re able to create, customize, develop, and distribute report cards)

• Incident Tracking (Alma's incident tracking makes it easy to keep track of behavioural
and disciplinary incidents).
• Fees (you will be able to create, manage, assign and track fees by student or student
group).
• Walk-in Scheduling (this allows you to add or unenroll a student from classes in just
two clicks).
• Emergency notifications (School administrators can broadcast emergency
notifications to staff, parents and students via text or voice message).
• Calendar (Creating a centralized calendar of school holidays, events and class
schedules is fast and easy, and school closures automatically update through the rest
of the system).
As you can see this software holds many different features, of which are not always
available on the likeminded software's I found online. The software is advisable as it holds
all the vital information within only the one software and therefore is more connected
whilst also being a lot more user friendly than others I have found. To conclude, this
software would be very advantageous as it is head and shoulders above the other software's
I found while browsing online.
The software has an available free trial, this may prove useful while deciding whether or not
the software is worth the money.
Financial management system
Once a business has an information system to help manage income or revenue, the next
area to look further into would be often expenditure or costs.
Financial costs: Spreadsheets can be used to help manage regular costs. Information
systems will easily find trends and unusual patterns. Questions they could answer include:
• Do costs regularly surge at the beginning of TLCs term time or toward the end?
• Which department regularly overspends the budget set within TLC?
My recommended software
The Financial management system I would recommend is- SAGE

They enable you to create customisable invoices and quotes, for simplicity they hold all the
businesses information in one place. It will take the hassle out for managing the VAT, it will
provide reports to control the cash flow. Keeps an up-to-date legislation and finally it has a
‘Sage Drive’ meaning you can access the data with colleagues from the cloud through sage

drive. This keeps everyone connected and means people can access the data even when
they’re not present (within TLC).
Human resources management system
Human resources departments often produce a lot of analyses and so may have an
information system to help them.
Staffing: One of the goals of TLC may be to have the correct amount of staff working with
the correct skills required for the job (ensuring all teachers are qualified to teach languages).
An information system can identify staff and skill shortages and excesses. It can also identify
the staff turnover, experience profiles, gender and age.
Professional development: This covers the organisation’s needs; such as, the staff must have
the correct training, skills and experience for professional development. This can identify
candidates suitable for jobs and potential training opportunities for staff.
My recommended software
A Human resources management system I would recommend is- bamboohr
This software also come very highly recommended, the software gives executives visibility
into strategic indicators like employee turnover and retention. The software also provides
the organisation with a customisable dashboard (at no extra costs), a self-service (meaning
staff are able to oversee all data relevant to them; such as sick days and recent activity's),
the software also will keep a tracking of attendance and punctuality, lastly, the software will
provide the organisation with a file organisation minimising the time it would normally take
find documents.
Although I am not sure of the actual costs the software has been reviewed as being worth
the money and very reasonable. The prices alter for the different sizes of organisation.
