Introduction
This report is about the two organisations which explain storing and communication information in
laboratories, therefore, there are many factors that can affect how the data is being stored in
different organisations such as the type of data that is being stored, and what is the orgaonation'
purpose. For example, in the laboratory environment may include very sensitive information, which
the information may spread to a large network of teams when tests or investigations are carried out
such as covid test. As a result the data is being recorded and also being received by patients which
receive the test result. Therefore, in this report is about two organisations such as the Alcala and the
newvic college which explain how the information is being stored and how the information is being
processed and kept safe.

COSHH records, report records, scientific data, scientific apparatus records, and personal records
are examples of records that may be preserved in a scientific workplace. COSHH stands for the
control of substances hazardous to health; these records contain all of the information about
dangerous chemicals present in the scientific laboratory; this is important since it raises awareness of
the harmful chemicals in the environment. Only store technicians and anyone involved in the
ordering, storage, and usage of these chemicals should have access to them. When an experiment is
in progress, for example, if a new medicine is being tested, all of the information about the substance
and all of the participants are recorded in these report records.

Therefore, in newvic there are three type of data that are process and stored such as

➔ Stock data
➔ Practical result

Requisition - When a teacher desires to conduct a practical inquiry with pupils, requisition forms are
used. The requisition form is shared with the instructors and science technicians through google
sheets. This form provides the teacher's name, the room number and when the practical will take
place to ensure traceability. This form provides the teacher's name, the room number a for the
experiment because the student needs to be guided on how to use the equipment as this prevents
any accident from occurring during the experiment. Finally, the technicians will enter it into a
spreadsheet of upcoming experiments so that they can prepare the equipment that is needed for the
experiment. Therefore, the teacher needs to fill the requisition form to let the technician know when
the teacher wants to do the experiment such as:
- Time
- Room number (lab)
- Equipment
- Teacher name, email and phone number
- Data
- Location
- Health and safety issue
Finally, at the end a report is being produced which shows the experiment is being carried out.

, Stock data - Therefore the technician needs to know what experience is being carried out so they
know if there is any chemical left in the stock. This is because if the chemical such as sulfuric acid
runs out then the technician needs to order the chemical that is needed for the experiment.
Therefore, to order a chemical or equipment that is needed for the experiment the technician will
scan the QR.
This is because in the science department prep room, there is a QR code on the wall. This allows
them to open the QR link and it allows them to enter the amount of chemical they want to order. As
a result this allows them to keep track of the stock level as it allows them to update the spreadsheet.
The spreadsheet is used to generate reports and used to report which chemical and equipment to
buy. For example, the spreadsheet shows the technician if the stock level is low. This can also be used
to show them if the chemicals or the substance are stored correctly to make sure that hazardous
substance doesn’t cause accidents and injuries to the student, teacher and staff. Because this is a
googlesheet, it is stored in the cloud and can be recovered if there are any problems at Newvic.
However, the disadvantage of this is that internet access is always required to access the data.
Therefore, the spreadsheet is stored in the cloud and can be received if there is any problem in
newvic.

Practical result - whenever a new practical is added to the report e.g cooling curve experiment,
however, the exam board may change the experiment. As a result, the technician has to carry out the
experiment in advance and make note of the result and how much chemical that is being used.

The newvic information is safe in the Cloud which term "cloud" refers to any form of software or
service that is not stored on your own computer or devices but rather operates over the internet.
The information, photos, and videos you save to cloud services are kept on third-party servers
operated by corporations such as Amazon, Google, and Microsoft.
Furthermore, Cloud storage is seen as secure since servers are often located in warehouses that
most workers do not have access to. Second, all files on cloud servers are secured.
This means they are scrambled, making it far more difficult for hackers to access. Redundancy is also
used by the largest cloud providers. This means that they copy the data and store it in many data
centres. If one server fails, you may still access your data from a backup server.

- Computers are less of a fire hazard than thousands are pieces of paper.

information
