Task 2: Prepare a plan for a business event

Plan for the event Time frame and explanations
Venue The venue is the place where the event will take place.In our case the event
will take place in Uxbridge college on the address Park Road, Uxbridge
Middlesex, UB8 1NQ.In addition, our event will be held inside the building ,in
the the main hall next to the exist doors.However,if the main hall will be
already booked, then our team will make possible to find another venue on
Uxbridge College territory.

Time The timing that is needed for advance notice or booking will often depend on
the popularity of the location at Uxbridge College and the date of that event.
As a result choosing the right date and time is very important as we do not
want to clash with other events, as this may affect its popularity and
reputation.The time for the event to take place at the venue is 12pm - 2pm on
the 17th of October. An advertising event will also take place on 16th of
October between 11 - 1 where only Xbox will be played.

Capacity 7 People will be served at a time. Minimum 300 People attending the charity
event. It is the amount of people that will be attending or are supposed to
attend the event. This number might vary in case.We also want the principal
to attend to give a motivational speech to the students.If the target people will
not be reached than our team will go through classes , library and open
access to meet the target attendees and sell as much as possible.

Equipment Tables, Flat screen Tv, chairs, Xbox One, Fifa 18, cooler. All equipment
should be ready by the 17th of October a few hours before the event will take
place. After the event is finished, borrowed equipment will be returned to the
rightful owner.

Booking 5th October. These are the bookings of the equipment needed for the event
and the venue where the event will take place.The bookings we have
reserved include the space where were we are going to sell Drinks, have
Prize-based Challenges, the Tv and Xbox and the Knowledge Challenge.

Paper work Checklist, team roles, Posters, etc, We will have to conduct the charity event
within the bounds of Uxbridge College’s rules and regulations.

Product / Soft drinks(coca cola, Fanta, 7up) , sweets (snickers, bounty , skittles,
Services lollipops, lindor, kit-kat), Playing Fifa 18, Prizes, etc. All products will be
obtained by the 16th of October so that the group is ready for the charity
event on the 17th.
