Unit 18 – Managing a Business Event
M1

M1 Assess the importance of meeting organisational and legal requirements when
planning a business event
In this task, I will be assessing the importance of meeting organisational and legal requirements
when planning a business event. It is essential for any event organiser to ensure that all the legal
requirements are taken in considerations as well as following the specific necessities when planning
and organising an event.

Health and safety – when planning and organisation an event it is important for any event organiser
to ensure the safety of the event’s venue, the wellbeing of other people who are attending the event
such as workers and the visitors. For example, an event organiser would need to take in account that
nobody should bring sharp objectives to the venue for safety reasons, and ensure other attendees
such children are safe. Therefore, health and safety is an essential part of any successful event, and
more importantly to make sure that all the event activities are safe. A good event organiser will have
to carry out risk assessments of the venue in order to be aware of all the risks and dangers that may
happening during the event. For example, if a business decide to go on a trip with all its staff
involved in the event, an event organiser must ensures that all the tools are suitable for using as well
as the staff must be informed about the injuries that can happen from using them. Therefore, it is
important to take in considerations about the risk assessments and all the information in order for
the health and safety of the attendees and other people involved in the event.

In term of food hygiene, as an event organiser it is important to take in account the food hygiene.
This due to the fact that any person from the attendees or the workers could got a food poisoning if
it was not prepared correctly. Therefore, when organising an event it is significantly important to
ensure that all the products you will sell or provide within the event must be fresh and not out of the
date in order to prevent food-borne illness. The area and surface of the venue or the location of the
event to take place must be cleaned well with anti-bacterial spray. This has to deal with risk
assessments as an event organiser must carry out food risk assessments, or ensure that the catering
company must do this instead.

It is important for an event organiser to follow the right and appropriate regulations and laws which
would change depend on the size and type of the event. The age requirement is a very important
part of the legal requirement, as any event has to meet age requirements. For example, a business
that organises a musical festival where people can buy alcohol or tobacco products that are on sale.
An event organiser must ensure that the attendees are aged 18 or above in order to avoid any
problems.

When planning and organising an event, the supplier issues must be considered as an important
aspect of a successful event. The event organiser should do some research and consider the costs of
the supplying items. For example, when deciding to order catering delivery, it important to ensure
the food products are not expired and also to negotiate with the suppliers to ensure that you get the
best possible deal. In addition, the event organiser must ensure that the supplier is paid with the
correct amount of money as well as ensuring that the supplier still be able to exchange the faulty
goods or the goods which are not needed during the event day, however they will not always refund
goods not needed.

In order to ensure the event runs smoothly and successful, it is essential to have agreements from
the event venue and others companies involved such catering/supplier before the date of the event.
This is to ensure that you as an event organiser have written agreements from the venue
