Unit 4: business communications
P5: write a report explaining the legal and ethical issues in relation to the use of business
information
Mrs. chibanguza
In this assignment I will write a report that explains the legal and ethical issues in relation to the
use of business information. I have chosen to explain the legal and ethical issues of St Joseph’s
Catholic High School.

The data protection act 1998, is an act of the United Kingdom’s parliament that explains ways of
how the information about the people living may be legally used and handled by organizations,
businesses or the government. The purpose of this act is to protect people personal information
that is stored either on computers or organized paper filing system from any misuse or abuse of
their personal information.
The data protection act states that:
❖ Data must be used only for the purpose stated
❖ Data must be accurate and up to date
❖ Data must not be kept longer than necessary
❖ Data must be processed in line with your rights
❖ Data must be adequate, relevant and not excessive in relation to the intended use
❖ Data must be protected from transfer to an area outside the European Economic Area
All of the above include st joseph’s this means that the schools has to follow the data protection
act, this is because they store loads of personal information’s of their students and teachers
employed at the school. The school will have to make sure that any information taken in is used
for its purpose, an example would be school trip reply slips, and the information on these should
be only used for the purpose of the trip and nothing else. Secondly, the information the school
has about their students and teachers must be accurate and up to date. This is so that in case
of an emergency or any problem the school can immediately contact the student, or their
relatives. St joseph's in order to make sure that they have the accurate and up to date
information, each new school year hand out to the students to take home an information sheet
with the students details for the parent to approve whether it's correct or not. Also, the student
or parent is able to come to the office any time during the open hours of the school office and
update their child's personal information. Coming back to the example of school trip reply slips,
these are used only for the purpose stated and they also must not be kept for longer than
necessary, so as soon as the school trips is ended these reply slips have to be thrown away
safely. St Joseph’s school makes sure that the data they have about their students and teachers
is processed in line with their rights, they do this by giving the students and teachers a
username and a password that enables them to login to the school laptops/computers. The
passwords then are able to be changed by the pupil as long as they want to do so. However,
sometimes it occurs that the students forget their new passwords so they have to go to the
school IT technician and then give permission for him to change their password back to
whatever they want. Finally, as the data used must be relevant for its use, St Joseph’s makes
sure to apply to this by only asking for the relevant information only. An example of this, would
be when having students apply for the school, the information that the school would ask would
be only about the students so their name, surname, D.O.B, someone to contact in case of an
emergency and any allergies etc.
