,There were many different tasks that we needed to complete before the event in order to enable
us to run the event smoothly. To help us with this we created a Gantt Chart to be able to have a
clear plan of the different tasks that we needed to complete and when they needed to be
completed by.

CREATE AND DECIDE OUR EVENT
When deciding what event, we should hold we had different ideas that we could have done that
would have worked with our bake-off. At first, we decided to do a raffle to who would take part in
our bake-off. This would have meant that we would have been able to sell the raffle tickets and
with the money raised we would have been able to spend it on the ingredients that we needed
to be able to run the bake-off, and what was leftover would have been our profit that we would
have donated to a charity of our choice. However, we finally decided to change this as we were
unable to plan and conduct this in the time given, we then came up with a solution to this. Our
solution was to conduct a celebration event for the students in year 7 that have 100%
attendance, the best commitment to learning grade and 0 behavior points, this enabled us to get
funding from the headteacher of the school to ensure that we did not need to raise money for
our ingredients. This event was also chosen because we know that the students at our school
enjoy baking and it is at a limited supply and the students get put on a half term routine where
each form group will swap over, which is why we felt that this event would meet the customers’
needs.

DELEGATED ROLES TO EACH MEMBER OF THE GROUP
Once we chose our event, we had to present PowerPoints on what role we would like to play in
the event and why we would be good at this, once that was done everyone had to vote on who
they would like for each role. Once the vote was clear we all had our own roles, and the team
leader told us what we needed to do as that role. I believe that we all followed our roles to a
good standard and we communicated well in class through team meeting, google classroom to
help with the information that needed to be added and verbally in lessons clearing up any issues
that we may have had.

SPEAK TO THE CATERING DEPARTMENT TO SEE IF WE CAN GET THE ROOM
In order to be able to hold our event, we needed to be able to have a venue to hold it in, the
most convenient place we had to hold our event was the food tech room as it holds the
equipment and the ovens that are needed in order to make and bake cupcakes. I and the team
leader needed to find out the best dates that worked with both the catering department and our
group. After the first meeting, we had the head of the department give us the dates that suited
us and we had to decide with both our team and our teacher which date would be the most
viable.

WRITE A LIST OF EQUIPMENT WE NEED

, In order to be able to hold the bake-off, there were different types of equipment we needed such
as the correct number of ovens and whisks, etc. We needed to be able to ensure that we had all
the necessary equipment to be able to hold a successful event. We also needed to write out a
list of the ingredients that we needed to supply in order for the students to be able to bake their
cakes, so we did. This ensured that we were prepared and had the correct amount of everything
which would ensure that there was less stress in the build-up to the event.


COMPOSE A LETTER TO THE HEADTEACHER TO SEE OF WE WERE ABLE TO TAKE
STUDENTS OUT OF LESSONS
Even though our event was a reward to the younger students we needed to be able to get
confirmation from the headteacher to be able to allow the students out of their lessons. I wrote a
letter to her explaining the event and why we would need to take the students out of lessons
and we confirmed that this would not be a problem. If we did not do this, we would not have
been able to hold the event which is why I believe that this was a crucial part of planning our
event.

CONFIRM DATES WITH BOTH FOOD TECH AND THE HEADTEACHER
Just to be sure we needed to ensure that the dates worked for both the food tech department
and the headteacher. To ensure that this was the case we spoke to The Headteacher and the
Food Tech department and they all confirmed that the date of 05/02/2020 was viable for all of
us.

COMPLETE THE RISK ASSESSMENT
To ensure the safety of our event for both us and the participating students, we needed to
conduct a risk assessment. This was performed on two separate occasions by two other team
members to ensure that nothing was overlooked and that no new dangers had emerged.

ENSURE THAT WE WERE AWARE OF ANY LEGAL CONSTRAINTS
In order for us to be able to hold an event we needed to be able to ensure that we were not
affected by any legal constraints and that we were aware of the rules we needed to follow. We
figured out that we needed to ensure that the noise levels were not very loud as there were
other students around us in lessons.

CREATE SPREADSHEET OF PRICES SO WE CAN ORGANISE A BUDGET
As we had to ask the headteacher for the money for our event we needed to be able to prove
why we needed that amount and what we needed it for. Therefore, we used to excel to organize
the different list of ingredients we needed and the prices of them, also the quantities we would
need to be able to cater to all of the students attending.

CONFIRM THE BUDGET AND GIVE THE SPREADSHEET TO THE HEADTEACHER
We needed to confirm the budget with The Headteacher which I did and everything was
approved, if we did not do this, we would not have had the money and would have had to but
the ingredients ourselves which would have had a negative impact on our event.
