Analyse the key factors that need to be considered when producing a
plan for an event.
In P5 I outlined many factors that are likely to influence any type of event in general;
these factors were budget, aims and objectives, resources, venue, catering, legal
documentation, team working, insurance, communication, and contingency plan.
However, not all of them apply when it comes to school events such as an open
evening.
It is worth mentioning that for a school event some of those factors don’t need to be
considered but some others might be even more important.
The factors I think would be needed to be considered for the open evening are:
● Budget
● Aims and objectives
● Resources
● Catering
● Team Working
● Communication
● Contingency planning
It is necessary for us to plan a budget as we will need some stuff that the school
might not provide such as catering; pens, chairs, speakers,tables and other types of
equipment are provided by the school which is a massive help for us.
It is important for us to set a budget so we know how much we are able to spend and
therefore able to plan the event according to this budget (£60). With a clear budget
we will not spend too much or too little so we will end up having a more organised
and cost-efficient event.
Another factor that we must consider when planning the open evening is setting aims
and objectives, it is worth mentioning that this factor is key for all types of events no
matter what the topic is. The reasons why setting aims and objectives for the event is
important is that it will give us focus and that it will give us something to shoot for,
which is likely to keep us motivated and excited about it.
Even though the school will provide us most of the resources and equipment we
need, we still have to analyse and figure out what we will need for the open evening
in order to inform the school with time.
Considering the resources is key for the event to success because resources have a
massive impact on how smoothly and efficiently the event runs. We have figured out
that some of the resources we will need are chairs, pens, tables, WI-FI, leaflets,
booklets, and toilets.
