THE PLAN

P2 - Explain the needs and expectations of all stakeholders involved
in the DVD project
• Lincoln College – Lincoln colleges, needs and expectations for the DVD project are high
in the aspect of that they want this DVD to be used to persuade students to choose Lincoln
College for study. They have a set of expectations set in place in which they want this DVD
to deliver; these include the information about the college they want featured within the
DVD. One of their most important expectations will be the standard of the DVD as it holds
the Lincoln College brand name on the DVD, by not having a DVD outcome of a high
standard. Lincoln College could have its image negatively affected, thus going onto affect
the choice of future students wanting to study at Lincoln College.
• Potential Students-The potential students that the DVD is being made and designed for
also have a vested set of expectations for the outcome of the DVD project. The main focus
of these expectations is to give them the potential students the source of information they
need when making the decision on whether they want to study at Lincoln College or not.
On this expectation the DVD has to make sure to be informative and get across the points
that potential students are interested in when making their decision.
• Project Members- Members of the DVD project start the project with an expectation of
being able complete their projects aims and objectives. Aims and objectives vary but the
main objective is the completion of a DVD that has a purpose of promoting Lincoln College
to potential students. An expectation of this is to make sure that the DVD is able to
properly present information about Lincoln College, thus furthering the objective of
carrying out the expectation of fulfilling the projects end goal. There is also an
expectation of making sure the end result of the DVD is of a high standard, so it will
reflect well on the project members, aiming to achieve higher grades.
• Project Manager- The manager of the project probably has the most pressure on his
shoulders. He needs results from the rest of project team otherwise it will be his head on
the line. It’s up to him to keep on top of the team and in making sure that work is getting
done. An expectation of the manager is if motivation is needed then I feel that the
manager is inclined to do this. Project productivity is vital for the manager to get the
results he wants as well as meeting the team’s aims and objectives. Another expectation
of the manager is that he must make sure that the work is based on the target audience
which is potential students and their parents, if work isn’t sufficient enough it’s his job to
sort this problem out and make sure that the work is sufficient enough before submitting.
The manager is a vital figure within the project, for example when we had conflict
between two members of our team it was him who fizzled the situation down and got
them two back on the same page and allowed productivity to continue.



P3- The first step to our team become a success was deciding on what our main objective
was… and our main objective was to ‘persuade school leavers to study business at Lincoln
College.’ The first part of our plan was to decide how we were going to make the business

department and the subject itself attractive to our audience. In order to achieve this we
decided to set the location of our DVD in the Cathedral Building where all business lessons
take place so the students get an idea of the learning atmosphere that they will be
working in.
Another audience that we all thought would need to be targeted is the parents of these
school leavers as they of course have a massive input in where these potential students
go, so we had to show in our DVD why Lincoln College was the best learning place for their
child. Throughout the whole Cathedral building there are quotes from successful
businessman as well as famous celebrities that are there to inspire students to try their
hardest in business and one day be as or even more successful as them. Some examples of
these quotes are from people such as Lord Sugar, Justin Bieber, and Stephen Hawking. We
felt that showing these off throughout our video would make the students feel inspired
also, plus show to the parents that the college is always reminding their child to do the
very best they can.
After we had all decided on what our objective was and the overall idea of our DVD we all
then decided to make our project less timely by designating set tasks for all team
members to get on with. Every member of the team has a responsibility to uphold in order
for the project to be completed. We had one person responsible for the making of the DVD
itself, his job was to find a camera and film the DVD. The next member had the role of
finding an editor for our DVD as well as people we could star in our DVD such as teachers
and students. What was left between the final two members was discussing and coming up
with what exactly was going into the DVD, how was it going to be presented, what order
should things be shown in? Without any of these individual contributions the project would
not have been completed for one, but in the time that we did would also not have been
possible. No member had a more important role than anybody else which made everyone
want to do their part just as much.
The next phase of our project was to look at our key stakeholders within the project and
the main expectations they would have for us.
Next plan of action was to create two methods in order to monitor the progress we were
making on the project. This task was assigned to a team member who decided to create a
Gantt chart and a Critical Path Analysis.
A contingency plan was then made for the project as we needed to be aware as team that
if a problem did occur then we would know exactly what precautions to take in order for
the project to carry on moving swiftly forward. One of the problems that we instantly
knew we may come across is the weather. English weather can change in a heartbeat so
we knew that we couldn’t rely on the weather report and had to record as soon as we had
the chance.
Another problem which may occur is conflict. Conflict happens in every team, you either
sort it out or let it affect the outcome of the team. I feel is full of team players so there
won’t be any conflict to deal with but if the time arrived where we would have had too I
strongly believe we would have sorted it out in double quick time because we are a very
strong unit.
After each task has been completed each member of the team will evaluate how well they
thought the team performed. This includes how they thought the planning stage of the
project and whether aims and objectives were met by each team member. If objectives
were not met then reasons for why need to be included. The final piece in the puzzle that
