Operational issues
Businesses keep lots of information, and they have to ensure that this information is
protected. There are many policies and procedures that the businesses have to follow to
make sure that this information is managed appropriately, this includes security of
information, backups, health and safety, organisational policies, business continuance plans,
costs, and impact of increasing sophistication.
Security of information
Many companies now store their information on computers as digital data, and computers
can easily be hacked, the information can be easily stolen, and IT systems can sometimes
fail, and this can cause loss of important data. Businesses have to take steps to ensure that
information is safe and secure. Blackburn College make sure of network security. Each
student at the College have a network password and all their information will be stored on
that network. This is a way College ensures all students information is safe and secure.
Blackburn College and other companies also use virus protection software such as McAfee,
which help prevent computers from getting and viruses, as a virus can be a third party trying
to obtain personal data.
Blackburn College have to keep the information secure as they store a lot of information
their employees and students, and losing this information to third party can cause huge
issues for the organisation. ‘’Right of access – individuals have a right to know what
information organisations hold about them on a computer or in certain filing systems. The
need to know how to gain access to it and how to keep it up to date. Individuals can submit
a Subject Access Request to see or have a copy of this information. The College has 40
calendar days to respond. Right to prevent direct marketing – individuals have the right to
object to their personal information being used to target them with unwanted marketing All
requests must be passed to and dealt with by The Data Protection Officer’’
Backups
Backup is an act of copying a piece of information so it can be retrieved and restored the
real data after being lost. Businesses can back up the data by storing them into back up
devices such as pen drivers and CDs. Backing up each piece of information helps keep the
information safe, because if it’s lost, it can be restored. ‘’Data is the most important aspect
of your computer. Computer hardware can fail, data can be corrupted, computers can be
lost, stolen, or destroyed. You may be able to reinstall operating systems and applications,
but your original data could be lost forever.’’
Blackburn College have developed and installed systems to try to minimise the risk of losing
important information and data. They produce backups of information stored on the servers
and also update the software regularly and keep data backed up, they back up every
important information that is stored into the computers, that way they avoid risks of losing
important data.
