Staging an event and reflecting on its success

In this report I will be covering the different tasks I took in the lead up to staging my event and what
followed. I will also be reflecting upon my personal contributions to the events success. The Event
was monitored by myself, other group members, participants alongside my teacher.

What Went Well

Our event saw active engagement from our participants, all playing along within the quizzes not only
for fun but for their own educational benefit too. This was good for our event as it was one of our
intentions from the get-go to get people engaged with revision to assist their understanding of the
upcoming exam.

As gathered from participant feedback, the event was beneficial and useful to their understanding of
the key topics. The positive feedback highlighted how the quizzes were fun, how everyone was
engaged, and how the revision event was overall useful. This was good for event knowing that we
had provided something useful and something that would largely contribute to our aims and
objectives.

As stated in my diary for staging the event, the event did start off very rough but as a group we
pulled it back and continued to provide something useful and beneficial. Excluding the initial
setbacks, our event saw minimal disruption or hitches and played out very well from then on. This
was good for event, not only so we could counteract our poor start, but also as it was easier for
participants to play and follow along without disruption.

Despite turning our event around, there were still some aspects of our event that did not go well;

What Did Not Go Well

At the start of the event we struggled to load the files and assets of our event on to the classroom
white board, whilst participants were waiting. It took us around 10-15 Minutes to solve the issue.
This initial setback to our event did not only print a bad impression in the mind of our stakeholders,
displayed poor organisational skills but also contributed to people not being fully engaged at first. In
short, this setback was bad for event.

Our event was set to start 6 days before it actually did, planned for March 25 th, took Place on 31st.
This setback was bad for our event as it left the event to not be fresh in our mind when staging it and
was undoubtedly a factor in the sloppiness and chaos start to our event on the 31 st.

Midway through the first quiz, I accidently skipped a question which only one person had answered.
This was a mistake, but the one person that had answered held an unfair advantage above everyone
else which then ruined the competitive integrity of the quizzes. As seen in participant feedback,
people were unhappy about a question being missed which could have won them the quiz. The
missed question may have also led to people caring less about the event as it could have largely
hindered their chances of winning, overall this mistake was bad for our event.

How Effectively were the risks managed?

The Risk Assessment For Our Event




- The risk of a laptop setting on fire or facing any other electrical faults were managed
effectively by ensuring the laptops within the classroom passed the electrical safety test. In
addition to prompting people to use their own devices where possible.

- The risk of a chair being an obstruction or hazardous was managed fairly effectively. Myself,
and members of my group did move chairs which were obstructive or in the way, however
towards the end of the event as some people did get up move around to find pens, it
became far harder to effectively manage this risk of chairs being in the way.

- Coronavirus spread as a result of our event was poorly managed and was not effectively
managed at all. We failed to ensure that people had tested negative before attending the
event, we also failed to inform people of current guidance surrounding covid-19 in the

college venue. This is something I would do differently if I were to stage any event again.
However, we did leave it up to personal choice if you wished to wear a mask and sanitise or
not.

How Effectively were the contingencies managed?




Contingency Plan For Our Event

Prior to our event we had prepared methods for our contingencies such as paper quizzes, moving
the day of the event, or all group members knowing what to do in case one person cannot show up.

During our event we did not have to resort to any of our contingency plans, however there were
almost some exceptions.

- One of our group members seemingly was going to miss our event, but showed up at the
right time. This meant we did not have to resort to our contingency plan.

- We also introduced a new contingency mid-way through our event. We briefly paused our
event as someone was using Mobile Data, and their signal dropped for a few moments so we
