Task definition

In this task I will be acting as a travelling agent1, organizing a 14 day educational trip for 6 people.
This should include a trip to a factory chosen by me as well as other non-educational facilities. This
will be planned using various methods of formatting on database and excel.

The prescribed 6 travelers have provided me with a budget. This should include the flights (return),
all accommodation, transport and activities.

To ensure that it is a trip of a lifetime for the travelers, I will firstly need feedback from the clients in
order to organize the data into meaning information using Microsoft Word [to make a questionnaire
and also an email to all the clients making use of mail merge], Excel [to draw up an appropriate
budget and the daily agenda/ calendar] Database [to compare the data in Word by making a query,
and a table providing suggestions towards the trip as well as all the information behind it] and lastly
PowerPoint [used in the meeting to display the different factory options as well as the different
destinations the clients can visit in the country].

My solution will be to ensure that the clients do not stress about the trip by ensuring I stick to the
correct budget and they are presented with a luxurious trip of a lifetime. I will make use of different
sources in order to retrieve the data required.

,Task Description and Solution
TASK DESCRIPTION

Phase 1


Process& Development:


During Phase 1, my aim was to gather as much detailed and sufficient information as possible all
relating to the trip overseas. This was done by using different sources for my research. These sources
included:

• Magazine
• Internet
• Email
• Survey
• Local Citizens
• Reviews
• Previous Visitors
• Social Media

These sources helped me compile 20 questions that would be answered by the 6 clients to ensure
they were notified of all necessary elements with regards to their trip to the UK. I organized them
into the following subheadings: Factual Questions, Investigative Questions; Change Questions;
Comparison Questions. These questions would not only help the clients be included in the decision
making, but that they were all happy with the decisions made. The questions consisted of closed and
open-ended questions. There was a variety of options to choose from which allowed each client to
express their own interests and individuality.

Once I compiled 20 different questions, I then stated how each one would be used in the following
packages:

o Word
o Excel
o Access
o PowerPoint

Throughout this phase, I made use of various typography techniques (themes, alignment etc.) to
maximize the readability of the document. I also made my own themes and used page/ section
breaks to prevent Orphan lines in my tables.

, Obstacles I encountered


One of the biggest issues I had was ensuring the reliability of each source. Most sources (especially
from the Internet) are often outdated due to things constantly evolving and improving around the
world. I couldn’t find exactly what I was looking for to receive reliable data that I could optimally use.
To overcome this I made sure I used a variety of different sources to ensure that my data was open
ended. Another obstacle I encountered was when I imported some of my tables from Excel into
Access and I had to change the formatting which wasn’t always possible.




Method


Advantages:

The method I used allowed for me to easily compile 20 closed and open-ended questions. It made
the process of finding sources and then the converting them into accurate data much easier so that I
could plan the trip without any unanswered questions. Once I finished this phase, I was able to
already start planning the 2nd and 3rd phases of the trip.

Disadvantages:

The method I used often restricted me in terms of finding a lot of information. For example, I only
used one source per question and I had to ensure that each piece of information I found was reliable
and related to the trip overseas. Although I started well in advance, time was still a major factor
especially due to the fact that I made use of so many sources in this phase

, Phase 2
In Phase 2, my aim was to plan my 4 packages (Word, Excel, Access and PowerPoint) by sorting the
data found from my sources. In doing that, I was able to conduct how they would be used to solve
my main question.

A. Task 1: Firstly, I gathered all data and information found from my different sources. I made
sure that all evidence was included to prove all my information was reliable and trustworthy.
I did this by taking screenshots and then using hyperlinks to link them to my Phase 2. If I
used the Internet as my source, I copied and pasted the URL so that the clients could refer
back to the websites I made use of. I also stated the article title, the date of creation, date it
was last updated as well as my personal opinion of the reliability and readability of each
website.
Secondly, I explained in detail how I would integrate the information I found into the
different packages for each question. This helped me to stay organize and remind myself of
the purpose of each question.
B. Task 2: During this stage, I had all the necessary information to plan and create a framework
for Phase 3. I stated each question that was going to be used in Word, Excel, Access and
PowerPoint. With this, I included the name/sheet/etc. that you would find the information
in. I found it vital to state everything I was going to use to ensure the typography was
adequate enough for the clients. This included the calculations, formatting etc. I grouped
each element by the tabs they are found in so it would be more convenient when compiling
the documents.



Obstacles I encountered


A challenge in this Phase was to indicate how I would utilize each question into the different
packages. I found it difficult to decide whether or not I would be able to optimally make use of each
question and where I would use it to ensure it would have maximum impact. Another challenge I
picked up was the amount of work I gave myself. By choosing 4 packages, I had to plan even more to
ensure each package would serve its purpose.



Method:


Advantages:

In this phase, I grouped the work so that I could finish one section at a time. This prevented me from
forgetting to do something and helped me to plan efficiently and effectively. There was a lot to plan
and think about and therefore I had to be productive. Another advantage was the fact that I made
use of the template given. This did not only help me finish the task on time, but it made it a lot
easier to structure my work in such a way that it made the planning a lot more effective. I was able
to maintain a flow in the data that I processed into data using the various packages.

, Disadvantages:

Throughout my method, I struggled to compile different excel and access sheets due to the fact that
the data analyzing process required me to sort the data into different subheadings (Transport,
Destinations etc.). The open-ended questions were difficult to sort because each person had their
own opinion on each question. This increased the workload as I realized that I would need to
compile many tables, queries etc.


Factories


One of the elements the clients requested was going to a factory that was enriched with educational
values. In order to ensure that this was a possibility, I had to do some extensive research to find
something fun and exciting, but would still fit into the demands of the tight budget. This research
was found from of the internet and previous visitors. To make my job easier, I included the top picks
I found in the Questionnaire so that I could


Transport


Next what I had to consider was how the clients would get from one place to the next. To find
information, I made use of a combination of the internet, surveys and previous visitors to find what I
was looking. These options were then incorporated in the Questionnaire so that the clients could
choose which one would be more convenient for them in terms of comfort and the budget
limitations.


Airlines


With transport, a big question mark was which Airline would be most suitable for the trip to England.
I had to consider how long the flights were as well as the costs. I found my information on this topic
by making use of Google. To decide, I chose the top 6 cheapest flight prices that I could find on
www.travelstart.com. Once that was completed, I included this in the Questionnaire so that I could
receive input from the clients themselves so that they were comfortable with the flight hours and
prices.
